The Operations Support Specialist provides high-quality administrative, operational, and project support across multiple functions of Sierra-Olympia Technologies. This role ensures smooth daily operations, enhances office efficiency, and supports leadership, employees, and customers. The position is designed for growth, with opportunities to expand into higher-level responsibilities in contract administration, logistics, financial reporting, and event execution. The Operations Support Specialist will succeed by balancing reliable execution of routine tasks with the initiative to take on stretch projects. Success in this role means not only keeping the business running smoothly day-to-day, but also contributing to the efficiency, professionalism, and growth of Sierra-Olympia Technologies.

Requirements

  • Bachelor’s degree or equivalent professional experience in administrative, operations, or related roles.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency with Microsoft 365
  • Ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Administrative & Office Support Provide day-to-day administrative assistance to the leadership team, including scheduling, correspondence, and document preparation.
  • Manage office supply purchasing, distribution, and vendor coordination.
  • Organize and maintain efficient digital and physical record-keeping systems.
  • Event & Customer Support Plan and execute internal company events, employee gatherings, and recognition activities.
  • Coordinate logistics for customer visits, including meals, gifts, and on-site hospitality.
  • Provide trade show planning and execution support, including booth preparation, shipment, and onsite coordination.
  • Operations & Logistics Purchase, stock, and distribute company snacks and refreshment supplies.
  • Coordinate product shipments (domestic and international), including documentation and carrier scheduling.
  • Deliver products to local customers as needed, ensuring timely and professional service.
  • Contract & Finance Support Assist in contract administration, including document review, tracking, and compliance follow-up.
  • Support finance reporting by compiling data, generating reports, and assisting with special projects.
  • Partner with leadership on purchasing and vendor management to ensure cost-effective and timely procurement.
  • Growth & Development (“Headroom”) Take ownership of cross-functional projects that require coordination between departments (e.g., quality, operations, and finance).
  • Develop skills in advanced reporting, contract compliance, and business process improvement.
  • Grow into a trusted project coordinator role for complex company initiatives (e.g., new system implementations, process redesigns, or compliance audits).
