About The Position

Operations Support Specialists (OSS) provide support for the company’s mission in a designated area. The OSS may be assigned to one or more areas within the administrative office. This position is assigned to the Logistics Department. Duties may include customer service, logistics, clerical and administrative functions, data collection, reporting, inventory, or other duties depending on the assigned area of responsibility. (Although this position is assigned to the Logistics Department, other areas of responsibility are outlined within this description since OSS incumbents may be cross-trained to assist in supporting multiple business functions.)

Requirements

  • High school diploma or equivalent
  • Strong background in the use of computer software applications, including Microsoft Office Suite products.
  • Valid West Virginia Driver’s License and ability to meet the company’s driver acceptability standards

Nice To Haves

  • Associates degree in business-related discipline
  • Three years or more experience with Microsoft Office Suite products.
  • Experience within the EMS or/and air medical/healthcare industries.
  • Satisfactory completion of specialty software training as required
  • Emergency Vehicle Operators Course, or equivalent (if operating Emergency Vehicles)

Responsibilities

  • Greets and directs customers and guests as they enter the administrative office
  • Practices exceptional telephone etiquette, taking accurate messages
  • Signs for packages received at the administrative office
  • Opens and distributes non-confidential mail
  • Processes incoming/outgoing facsimile transmissions
  • Places information into databases as required
  • Prepares outgoing documents and packages for mailing/shipping
  • Maintains a clean, neat, professional office environment, including kitchen facilities
  • Assists with creating and distributing identification badges
  • Supports and assists all administrative staff as requested
  • Ensures that documentation and recording of clinical and flight operations initial and recurrent education is appropriate and verifiable by appropriate local, state, federal and accrediting agencies.
  • Participates in education meetings in an advisory role, facilitating best practices in flight and ground team compliance with regulatory standards.
  • Assists with planning and implementation of clinical and related educational outreach services to customers.
  • Reviews team member credentials for verification and recording.
  • Plans and coordinates resources necessary for the delivery of instructor development programs.
  • Supports outreach education initiatives through delivery of planning, implementation and tracking services.
  • Provides clerical support within the simulation laboratories.
  • Communicates educational needs to the Director of Education.
  • Participates in committee and educational outreach activities as requested.
  • Performs Accounts Payable functions
  • Demonstrates exceptional record keeping
  • Protects operations by keeping financial information confidential
  • Liaises with vendors
  • Assists in scheduling and completing inbound/outbound shipments
  • Provides clerical support, including data entry, to the logistics department recording incoming shipments and transfers of inventory between base locations
  • Fills inventory orders for various locations based on par levels
  • Assists in maintaining accurate inventory counts at the warehouse
  • Assists with stocking and preparing new ambulances for patient service and retiring aging vehicles from the fleet
  • Couriers ambulances and supplies from one base to another as needed for effective operations
  • In coordination with the Logistics Manager, develop and maintain a regular schedule for efficient distribution of supplies and materials and to complete vehicle checks and inventory audits
  • Familiarity or willingness to learn network cabling
  • Travel (including overnight travel) to locations to install/troubleshoot cameras and radios
  • Follows standards developed by appropriate governmental bodies
  • Maintains a clean, neat, professional workspace
  • Remains available and willing to work beyond the end of scheduled shift or on unscheduled days and at any HealthNet Aeromedical Services location as required for efficient organizational operation and growth
  • Within the scope of his/her qualifications and experience, performs other duties as assigned
