About The Position

The Operations Support Specialist is responsible for supporting daily office operations while serving as the facility's designated SQF Practitioner. This position plays a critical role in maintaining food safety and quality compliance by overseeing documentation, monitoring regulatory requirements, and ensuring adherence to SQF, HACCP, and company food safety standards. In addition to food safety responsibilities, this position provides administrative support for production, inventory tracking, logistics coordination, customer communication, and operational reporting. The ideal candidate is highly organized, detail-oriented, and capable of balancing multiple priorities in a fast-paced agricultural processing environment.

Requirements

  • High School Diploma or equivalent required.
  • Minimum of 2 years of administrative or office support experience, preferably in manufacturing, food processing, agriculture, or logistics.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
  • Experience creating and maintaining spreadsheets and reports.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple tasks while meeting deadlines.
  • Strong customer service and problem-solving skills.
  • Ability to work independently while collaborating effectively with cross-functional teams.

Nice To Haves

  • SQF Practitioner certification or the ability to obtain certification.
  • Working knowledge of SQF, HACCP, GMP, and food safety management systems.
  • Experience using AgTech or similar inventory and production management software.
  • Experience in agricultural processing, seed cleaning, grain handling, or food manufacturing.
  • Familiarity with logistics coordination and transportation scheduling.

Responsibilities

  • Serve as the designated SQF Practitioner for the facility.
  • Maintain compliance with SQF, HACCP, GMP, and all company food safety policies and procedures.
  • Review, verify, and sign required food safety documentation.
  • Review Lockout/Tagout records, metal detector logs, pre-operational inspections, sanitation records, and other food safety documentation for accuracy and completeness.
  • Conduct monthly food safety meetings and communicate updates to food safety policies and procedures.
  • Perform inspections of food-grade outbound trucks to verify cleanliness, condition, and compliance with food safety requirements prior to loading.
  • Conduct product quality testing, including granulation, protein, and moisture analysis, to ensure products meet customer specifications and contractual quality standards.
  • Verify product quality and grading requirements prior to shipment and work with operations to address any quality concerns before the product is released.
  • Ensure all required documentation is completed, signed, dated, and maintained according to regulatory and company standards.
  • Assist with document control, revisions, and implementation of updated food safety procedures.
  • Support internal audits and prepare documentation for customer, regulatory, and third-party audits.
  • Perform daily administrative and office functions supporting facility operations.
  • Maintain production records and operational documentation.
  • Assist with filing, document organization, and record retention.
  • Prepare reports, spreadsheets, and operational summaries as needed.
  • Enter production information into AgTech for clean seed processing.
  • Process production transactions, including bag production and contract allocations.
  • Create and maintain accurate production reports on a daily, weekly, and monthly basis.
  • Track customer production, including bag counts, product weights, and contract information.
  • Maintain and update inventory and bin tracking records daily using Microsoft Excel and AgTech.
  • Print product labels, prepare batch documentation, and organize production paperwork.
  • Receive training and become proficient in ExamNet for bin measurement and dashboard monitoring.
  • Monitor and document bin measurements, inventory conditions, and system findings to ensure accurate inventory tracking and operational compliance.
  • Record and maintain accurate documentation of ExamNet observations, measurements, and any findings requiring follow-up or corrective action.
  • Assist with customer communication regarding shipments and production schedules.
  • Confirm purchase orders and customer requirements.
  • Coordinate transportation by ordering trucks and communicating with freight brokers.
  • Schedule delivery appointments and assist with shipment planning.
  • Maintain accurate shipping and logistics documentation.
  • Collaborate with production, operations, logistics, sales, and management teams to support efficient facility operations.
  • Identify opportunities to improve administrative processes and documentation.
  • Perform other duties as assigned.
