About The Position

TruTeam is seeking an energetic Operations Support & Scheduler professional to manage their busy branch office. This role requires a reliable, well-organized individual who can handle day-to-day operations with a focus on efficiency and time management. The position involves scheduling jobs, acting as a liaison between customers and production, and managing various administrative tasks including purchasing, accounting, credit/collections, IT, and HR administration. Requirements

  • Minimum of 18 years of age.
  • If operating a Company Vehicle, a valid driver’s license will be required.
  • Minimum High School Diploma or GED.
  • 1-3 years minimum experience.

Responsibilities

  • Scheduling jobs and acting as a liaison between customers and production.
  • Managing compliance of purchasing, accounting, credit/collections, IT, and overall administrative requirements.
  • Handling Human Resources administration and employee relations programs.
  • Maintaining and updating database systems using a computer.
  • Managing, reviewing, and coordinating schedules for one or more locations.
  • Communicating daily with key stakeholders (Administrative Specialist, Sales Staff, and Production Staff).
  • Communicating daily with customers to schedule jobs, confirm jobs, and inform of any schedule changes or cancellations.
  • Managing records and information.
  • Performing accounting and/or financial analysis.
  • Monitoring credit and collections activities.
  • Managing daily conversion of quotes to work orders.
  • Reviewing and approving vendor invoices.
  • Providing HR administrative assistance to management teams.
  • Encouraging and improving cross-department internal communication.
  • Performing general office tasks (replenishing office supplies, distributing mail, custodial duties, etc.).
  • Operating office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
  • Computing, recording, and proofreading data and other information, such as records or reports.
  • Reviewing work orders, files, records, and other documents to obtain information to respond to requests.
  • Any other duty, task, or responsibilities as assigned.
