About The Position

Under supervision, the individual in this role is expected to input information accurately from a variety of sources into computer databases or applications to support time and expense entry, work management, invoicing, AP, expense reconciliations, or other processes as assigned. This role provides general administrative and clerical support, including mailing, scanning, and copying, and may serve as the receptionist for the Pike Engineering facility. The specialist will run reports from various tools or systems, review data inputs/outputs for completeness and correctness, and arrange employee engagement activities in the office. They will prepare and modify documents such as correspondence, reports, drafts, memos, and emails as directed, ensuring established deadlines are met and requested information is delivered in a timely manner. Responsibilities also include scheduling and coordinating meetings and appointments, maintaining the master calendar of in-house meetings, and managing employee calendars & availability. The role supports company and client-sponsored events by organizing and scheduling catering, facilities, restaurants, or other vendors as necessary. Additionally, the specialist will maintain a variety of general administrative reports and databases, including fleet, phone lists, storm rosters, occupancy, and PPE assignment. They will cost-effectively monitor and order office supplies as required, assist with the new employee on-boarding process, and help maintain fleet vehicles by coordinating and managing maintenance appointments and tracking mileage, as well as outfitting fleet vehicles with required up-to-date equipment. Other duties may be assigned by management.

Requirements

  • High school degree or GED.
  • 0-1 Year(s) Experience in similar support role or performing general administrative duties.
  • Ability to read and interpret documents such as procedure manuals, operational procedures, etc.
  • Ability to write simple correspondence.
  • Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.
  • Ability to compute rate, ratio and percent and to draw and interpret spread sheets.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving few concrete variables in standardized situations.
  • Required computer skills and knowledge of relevant software.
  • Required knowledge of operation of standard office equipment.
  • Required knowledge of clerical and administrative procedures and systems such as filing and record keeping.
  • Demonstrated ability to work independently and follow through on assignments.
  • High energy level with ability to work in fast paced, ambiguous environment.
  • Professional appearance maintained at all times.
  • Ability to deal and work well with a variety of individuals from various socio-economic, cultural, and ethnic backgrounds.
  • Team oriented.
  • Close Vision (clear vision at 20 inches or less).
  • Color Vision (ability to identify and distinguish colors).

Nice To Haves

  • Associates degree (AA or equivalent from two-year college or technical school).
  • Familiarity with utility or engineering office operations is preferred.
