About The Position

The Staten Island Railways Operations Support department is responsible for ensuring the smooth, effective, and professional operation of the business. This department oversees areas such as Employee Services, Timekeeping, Finance, Policy Compliance, Training, and General Office. It also collaborates closely with Operational Departments like Maintenance of Way and the Non-Revenue Shop, which are crucial for maintaining the safety and efficiency of railroad operations. The intern will assist with various administrative and operational support functions, including cross-departmental coordination, inventory tracking, documentation, and analysis of operations data for executive managers. The role involves improving employee record management and developing/managing databases for training, injury, and disciplinary history.

Requirements

  • Proficiency in Microsoft Office Suite (Word, Excel, SharePoint, Power BI) is a must.
  • Possess organizational, analytical, and communication skills.
  • Ability to work well under pressure and prioritize tasks effectively.
  • Keen eye for detail.
  • Ability to work independently while being an active team player.
  • Matriculated in an undergraduate program in good standing with at least a 2.5 GPA AND/OR matriculated in a graduate program in good standing with at least a 2.8 GPA.
  • All applicants must be authorized to work in the United States at the time of application.
  • Students' transcripts must be submitted.

Nice To Haves

  • Familiarity with PeopleSoft (training provided).
  • Major(s) Preferred: Business Administration/Management, Human Resources, Computer Science/Information Systems, Communications, Transportation, Accounting, or related field.

Responsibilities

  • Maintain all departmental electronic and paper files.
  • Create a program for SIR Finance to report financial analyses to MTA Stakeholders in a visual and analytical platform.
  • Update records in PeopleSoft/Enterprise Learning Management system.
  • Assist in testing internal controls and System Safety compliance.
  • Create and maintain databases for records management.
  • Schedule interviews with candidates.
  • Gather and organize pertinent documents.
  • Provide suitable recommendations to improve our processes.
  • Perform general office duties including research, data entry, filing, scanning, and general coordination.
  • Maintain and update electronic and paper records.
  • Manage databases related to training, injuries, and disciplinary history.
  • Assist in audits to ensure accuracy and compliance with organizational policies.
  • Assist in streamlining departmental processes.
  • Enhance efficiency in employee record management.
  • Support internal controls, system safety compliance, and policy adherence.
  • Create a program for SIR Timekeeping to report timekeeping analyses such as absence patterns to prevent time and attendance fraud and abuse.
