About The Position

Kitsap Mental Health Services (KMHS) is seeking an Operations Supervisor to provide administrative oversight, support, and consultation to the Mobile Crisis Outreach Team (MCOT) administrative staff via direct supervisory work. In this role you will oversee the day-to-day, ensuring adequate staffing, resources, and 24/7 coverage for MCOT to meet community needs and contract requirements. You will oversee MCOT staffing to ensure shifts are equipped to handle the community need and contract requirements. You will focus on maintaining high-quality, safe, and efficient crisis intervention and stabilization services.

Requirements

EDUCATION: Bachelor’s degree in business/healthcare administration, psychology, social services, or behavioral health. High School Diploma or GED accepted with six (6) or more years’ relevant experience.
EXPERIENCE: Two (2) years of experience in community behavioral health, non-profit, hospital, or equivalent setting.
LICENSURE: Agency Affiliated Counselor Registration.
Advanced working knowledge of Microsoft Suite.
Working knowledge on how to create reports and interpret data in EHRs.
Maintain working knowledge of current trends in community behavioral health.
Maintain working knowledge of crisis intervention principles, including rapid resolution, restoration of functioning, risk recognition, and promotion of effective problem‑solving.
Maintain current knowledge of Washington State statutes and regulatory codes governing MCOT responsibilities, including ITA laws, and ensure staff are informed, trained, and compliant with updates.
Must be able to effectively document using both handwriting and agency recognized computer word processing formats.
Excellent interpersonal and verbal skills.
Ability to communicate clearly and concisely.
Ability to operate a desktop/laptop computer, fax machine, printer, scanner, and copier proficiently.
Able to assist in building positive working relationships with staff of all agency departments
Ability to work cooperatively and collaboratively as a team member.
Ability to develop operational protocols or tools to improve the efficiency of MCOT administrative operations.

Nice To Haves

EXPERIENCE: Prior experience in Washington State ITA law, DCR protocols, and mobile crisis outreach models of crisis response. Prior supervisory experience.

Responsibilities

Publish weekly MCOT schedule and maintain two months in advance by monitoring PTO requests, editing last minute changes, and utilizing Per Diem staff before regularly scheduled staff for coverage. Email, message, and call staff to assist in covering shifts needing to be filled.
Provide or ensure the provision of a work schedule for members of the MCOT that provides 24-hour crisis response services at a level that maintains a continuity of coverage according to contractual requirements.
Monitor, correct, and approve timecards for all MCOT staff as well as track and approve PTO to support scheduling.
Monitor Jobvite for applicants and participate in interviews.
Complete Monthly Staffing Report for MCOT leadership to track vacancies, new hires, successes, and areas of improvement for the month.
Maintain seat number vacancies and accurately track when staff are hired/switching seats.
Provide an initial review of records to ensure that appropriate standards of care are maintained according to agency, regulatory, contractual, and/or judicial requirements.
Monitor and enforce staff compliance with agency policies and procedures to support safe, appropriate crisis intervention.
Maintain Policy and Training Manuals for MCOT by updating binders with new/revised policies and procedures. Including updating documentation protocols.
Maintain downtime MCOT binder to ensure forms are updated and readily available to the team for potential power outages and/or Credible maintenance outages.
Maintain operations of MCOT vehicles by submitting/monitoring mileage sheets, fuel receipts, and discrepancy forms with fleet vehicles.
Maintain WorkxHub and inventory/purchasing requests for MCOT.
Serve as alternate for MCOT support staff duties, which may include running reports, completing daily crisis logs, monitoring LRA spreadsheet, reviewing/sending legal documents to Records department, assigning Sheena’s Law police reports, etc.
Assist in the development and maintenance of positive, collaborative relationships with all KMHS programs, ancillary providers, and/or other public or private agencies, in order to provide an essential level of care for consumers and service to the community, and to further and enhance the overall mission and goals of the agency.
Report to and strategize with your supervisor on any trends, grievances, community or public relations issues which may negatively impact the overall reputation of the MCOT or the agency, or which may interfere with the ability of MCOT to carry out its stated mission.
Ensure that all documentation relative to crisis intervention services and consumer contact is complete, accurate, and submitted in a timely manner in accordance with agency, regulatory, and/or judicial standards.
Ensure that ongoing training relating to documentation expectations and requirements is provided to members of MCOT in an effective and timely manner.
Attend to the development of positive staff morale and teamwork; providing opportunities for training, team building, or other activities that will contribute to the maintenance of a supportive, collaborative, and collegial environment within MCOT.
In collaboration with MCOT leadership, provide consultation, education, and/or training to KMHS staff, members of the community, and/or other public or private agencies or ancillary providers as appropriate.

Oversee the Crisis Coordinator, Communication Specialist, and Care Team Assistants with regularly scheduled supervisions
Hiring, interviewing, scheduling, and direct supervision of Y/MCOT staff.
Collaborate with Mobile Crisis Outreach Manager in annual review process.
