About The Position

The Operations Specialist plays a vital role in keeping the firm running smoothly day to day. This position supports multiple departments by handling audits, firmwide requests, front desk and phone coverage, mail processing, and operational tasks that require accuracy, reliability, and sound judgment. This role is ideal for someone who enjoys variety, takes pride in organization and follow-through, and understands how small details can have a big impact across an organization.

  • Prior office or administrative experience
  • Experience working in a professional office environment
  • Applicants must be eligible to work in the United States.

Responsibilities

  • Answer and transfer incoming calls professionally
  • Assist walk-in clients, staff, and new hires at the front desk
  • Open, scan, label, and distribute physical mail and faxes accurately
  • Ensure documents are routed to the appropriate teams promptly
  • Perform daily audits to support Intake and firm operations
  • Complete reception, claim opening, ACA, and duplication requests for Pre-Litigation and Litigation teams
  • Monitor inactive cases and notify Medicaid accurately and timely when required
  • Support firmwide operational requests and special projects
  • Identify issues or concerns and escalate appropriately to minimize firm risk
