About The Position

The Operations Specialist will play an integral part in managing existing clients within the AKTGCC MICE database. This person will be responsible for facilitating and managing Shore Excursions and Turnaround operations for clients with active contracts in place, maintaining communication with clients and internal departments with up-to-date information, and growing year-over-year land-based revenue with strategic planning and sales with the guidance of the MICE Management team. This will also include interacting with our DMC networks where the client is requesting custom programs that require A&K MICE to assist with. As an Operations Specialist, you will be responsible for successful client relationships and overall execution of all Shore Excursion & Turnaround, and group on board planning operations that take place for MICE within the accounts. This individual will also have understanding and experience in client relations, balancing several programs simultaneously and reservation systems (OneIs). The Specialist will interact frequently with clients and internal teams to learn about their needs/requirements and develop relationships from which they will build solid partnerships. Requirements

  • 2-5 years of hotel, cruise line, or destination marketing/event management.
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint programs
  • Proficiency in Adobe Acrobat
  • Strong copywriting, editing and proofreading skills
  • Familiarity with marketing tactics and strategies for global markets
  • Crisis communication experience and ability to operate calmly in high pressure and/or short-deadline situations
  • Must be highly detailed-oriented with strong organizational and follow-up skills
  • Team player with a positive attitude who works well cross-functionally
  • Resourceful, creative self-starter who takes initiative to learn processes and get things done with little supervision
  • Ability to multi-task and thrive in a fast-paced environment where strategic brand-building efforts are priority – start-up experience a plus
  • Understanding of Global Events in the MICE Sector

Responsibilities

  • Actively promote and sell pre-set and custom destination experiences
  • Facilitate and upsell creation of custom destination experiences with appropriate internal teams
  • Provide quotes to clients for all requested land-based inquiries
  • Assist clients with booking pre-set excursions offered by the Crystal Destinations team
  • Liaise with internal departments within Crystal/A&K to arrange logistics for custom destination experiences
  • Assist and liaise with clients to provide quotes and confirm pre & post cruise travel arrangements, including transfers, hotels and air - upon request
  • Follow-up on pending quotes directly with internal Crystal/A&K departments
  • Provide clients with voyage specific Tour Booklets
  • Set initial meetings and follow-ups with clients and assigned sales managers
  • Assist with port-based inquiries as well as arrival and departure logistics
  • Collaborate with events coordinator to ensure a seamless schedule without overlapping of activities
  • Run manifests and other reports as necessary and provide updates to clients/sales managers
  • Ensure all related files are updated accordingly within team database
  • Assist in creation of and maintenance of department policies & procedures
  • Work with IT to improve and innovate system functions
  • Create invoices and ensure billing information is posted accordingly
  • Facilitate payments, provide follow-ups based on payment schedules
