About The Position

The Innovation Ventures Operations Specialist plays a crucial role in supporting the daily operations and project management within the department. This position involves coordinating operations, managing projects, ensuring compliance with agreements and reporting obligations, and streamlining contract workflows. The specialist will work collaboratively with leadership and various stakeholders to improve efficiency, maintain accurate records, and ensure adherence to established procedures and regulatory frameworks.

Requirements

  • Bachelor's degree; preferably in business administration, health administration, legal studies, or a related field
  • 3+ years of experience in technology transfer, IP management, research administration, compliance operations, contract administration, or a related field
  • Demonstrated experience supporting operational processes, compliance activities, or reporting obligations associated with agreements, regulatory frameworks, or similar structured processes
  • Experience coordinating across multiple stakeholders, workflows, or operational systems preferred

Responsibilities

  • Direct and coordinate the daily operations of the department in collaboration with leadership.
  • Identify opportunities for improving cost and quality through in-depth analysis.
  • Establish, monitor, and support business processes, SOPs, standardized workflows and related operations tools to promote consistency and continuity across the TTO and affiliated entities.
  • Coordinate assigned projects and initiatives, including collaborating on project plans, budget, resource requirements, tracking timelines, deliverables, dependencies, outstanding issues, and related follow-up activities using appropriate project management tools and practices.
  • Prepare reports, dashboards, KPI summaries, project documentation, communications, and related materials using information from internal systems and other sources.
  • Conduct scheduled reconciliation and comprehensive review of operational records and workflow activities to support audit-ready operations, operational accuracy and ongoing compliance.
  • Provide administrative and logistical support for meetings and related activities, including scheduling, agenda preparation, meeting materials, minutes, and progress updates.
  • Execute and maintain compliance monitoring across the TTO’s active agreement portfolio.
  • Extract, organize, and maintain obligations and reporting requirements from executed agreements, including but not limited to diligence milestones, royalty reports, annual reports, and notices within established tracking systems and workflows.
  • Manage and coordinate counterparty reporting processes, including outreach, tracking, follow-up, receipt validation, and review of submissions for alignment with reporting requirements.
  • Identify overdue, incomplete, or potentially noncompliant obligations and coordinate follow-up or escalation in accordance with established procedures.
  • Maintain organized, audit-ready agreement records and support ongoing operational stewardship of the agreement portfolio through coordination with internal stakeholders and preparation of compliance reporting.
  • Support workflows related to agreement negotiation and execution.
  • Track agreement workflow status, including drafts, redlines, and execution progress in coordination with legal counsel, compliance, and other internal stakeholders.
  • Streamlines contract workflows by implementing standardized procedures and tracking mechanisms to accelerate review cycles, reduce bottlenecks, and ensure timely execution across all stakeholder groups.
  • Ensure executed agreements are accurately recorded in internal systems and maintain visibility across agreements in process.
  • Execute federal and non-federal reporting obligations, including maintaining accurate, audit-ready reporting records and monitoring reporting activities and deadlines.
  • Leverage system integrations, where available, to support automated transfer of invention and patent information to reporting systems.
  • Monitor data integrity across synchronized records, review exceptions and discrepancies, coordinate updates or corrective actions as needed, and conduct periodic reviews on an established schedule to maintain compliance.
  • Escalate complex, non-routine, or judgment-based compliance matters to the Director.
