About The Position

As an Operations Specialist at Vitamin Well US, you'll play a vital role in ensuring our products reach customers quickly, safely, and cost-effectively. You will own the full order-to-delivery process while also supporting inventory allocation decisions and maintaining accurate inbound visibility across a diverse customer base-including major national and big box retailers. This role requires strong execution, attention to detail, and the ability to balance competing priorities to maintain high service levels across all channels. You'll oversee the full order fulfillment process, lead outbound logistics operations, and collaborate with key partners-including our 3PL providers-to ensure operational excellence as we scale.

Requirements

  • Experience working with ERP systems (Microsoft Dynamics preferred) and understand the importance of inventory accuracy across inbound and outbound operations.
  • 2-3+ years of experience in supply chain or operations, ideally in the CPG space (food & beverage preferred).
  • Experience managing customer orders, fulfillment, logistics, or supply chain operations.
  • Experience working with major retailers, distributors, eCommerce partners, or key accounts.
  • Experience working with 3PLs, freight forwarders, and transportation providers.

Responsibilities

  • Own the complete order-to-delivery process-from purchase order (PO) through allocation, fulfillment, and delivery-for assigned business verticals.
  • Act as the main point of contact for order-related inquiries, providing responsive and solution-oriented communication to retailers, distributors, eCommerce partners, and individual gym accounts.
  • Maintain strong, proactive relationships with customers by resolving delays, discrepancies, or issues and ensuring a seamless experience across all channels.
  • Ensure full compliance with retailer guidelines and routing requirements-particularly for large retail partners-while supporting strong OTIF and fill rate performance to prevent chargebacks and service disruptions.
  • Manage outbound logistics from our U.S. distribution center while maintaining visibility into inbound shipments to ensure alignment between supply and order fulfillment.
  • Partner with 3PL and external logistics teams to maintain high delivery standards and reliability.
  • Investigate and resolve OS&D (overages, shortages, and damages) cases with urgency and professionalism, always protecting customer relationships.
  • Lead onboarding for new customers across our EDI and eCommerce platforms, ensuring smooth integration and operational success.
  • Continuously identify and implement process improvements and automation opportunities to enhance efficiency and customer satisfaction.
  • Support and execute inventory allocation across customer channels, ensuring orders are fulfilled in line with business priorities, inventory availability, and customer requirements.
  • Assist in prioritizing and managing order fulfillment for key accounts-including large national and big box retailers-balancing service levels, fill rates, and operational constraints.
  • Partner cross-functionally with Sales and Supply Chain to align on allocation and order prioritization decisions during periods of constrained inventory.
  • Track and manage inbound inventory flows, including container shipments from origin through receipt, ensuring accurate and timely visibility across systems.
  • Maintain high levels of ERP accuracy by validating inbound receipts, inventory movements, and system transactions to support reliable order execution and reporting.
  • Partner with 3Pls, freight forwarders, and internal logistics teams to proactively monitor inbound shipments, identify delays or discrepancies, and resolve issues before they impact availability.
