About The Position

Serve as the primary administrative support resource for the branch office, ensuring smooth day-to-day operations and exceptional customer service. Act as the first point of contact for customers by answering phone calls, greeting visitors, processing payments, and responding to inquiries professionally and efficiently. Support retail fence material sales by preparing invoices, processing transactions, coordinating order pickups, and assisting with material loading logistics. Create and maintain residential project records, including job setup, data entry, job costing support, and accurate documentation management. Process Accounts Receivable transactions, maintain payment records, and oversee daily cash handling activities, including management of the branch cash box. Coordinate and support 3D rentals, walk-in customer requests, project setup, and account administration. Assist with hourly employee onboarding, including orientation coordination and ensuring all required employment documentation is completed and submitted. Maintain organized physical and electronic filing systems to ensure accurate recordkeeping and efficient document retrieval. Monitor inventory levels and order office supplies to support ongoing branch operations. Collaborate with branch managers, estimators, project coordinators, and other office personnel to ensure jobs are created, billed, and executed accurately and efficiently. Support branch initiatives, operational improvements, and special projects as assigned. Perform additional administrative, operational, and customer service duties as directed by the Branch Manager.

Requirements

  • Working knowledge of construction processes
  • Strong technology and computer skills
  • Working knowledge of ERP systems and computer networks
  • Organizational abilities to track multiple deadlines and reporting requirements
  • Self-motivation and desire to continually improve.
  • Ability to communicate effectively, orally and in writing, and have good public relations skills
  • Ability to establish and maintain effective working relationships with others.
  • Strictly follows safety policies, rules, and safe work methods.
  • Promptly corrects or reports safety hazards or unsafe conditions.
  • Promptly reports injuries for diagnosis and treatment.

Nice To Haves

  • BS or AS degree in Business Administration, Accounting, Finance or related field from an accredited college
  • Years of pertinent experience will also be considered.
  • Experience with construction ERP systems, including Vista, is a plus.
