Requirements

  • High School Diploma or equivalent required
  • 2-5 years of experience in an administrative or operations role, ideally including exposure to CRM administration, practice management systems, or IT/systems support.
  • All applicants must be authorized to work for ANY employer in the U.S. We are unable to sponsor or take over sponsorship of an employment Visa at this time.

Nice To Haves

  • Bachelor’s degree in Business, Accounting, Finance, or related field from an accredited college or university preferred.
  • Experience with tax practice software (e.g. Thomson Reuters UltraTax, CCH Axcess) is a plus but not required.

Responsibilities

  • Own the client intake process, including the new client intake form, ensuring new clients are accurately added to the CRM and that updates to existing clients scope changes, billing changes, work added or removed are processed correctly and promptly.
  • Own the quote process end-to-end, overseeing that quotes move through each stage on schedule and following up on stalled items.
  • Maintain and continuously improve the firm's procedures manual, keeping documentation current as workflows and tools evolve.
  • Build and maintain key operational reports, monitoring them closely throughout tax season to confirm engagements are progressing on schedule and escalating delays to leadership.
  • Administer the firm's core business systems, managing employee onboarding, offboarding, and account updates as staffing and roles evolve.
  • Monitor operational workflows, identifying bottlenecks or inefficiencies, and recommend adjustments to improve accuracy, speed, and scalability.
  • Serve as a knowledgeable point of contact for internal staff, answering operational and systems questions, troubleshooting issues, and escalating concerns when needed.
  • Conduct periodic reviews of system access and user permissions across the software stack to ensure appropriate data security and compliance.
  • Assist with audits, compliance reviews, and documentation as needed
  • Participate in special projects and cross-functional initiatives as assigned
