Wehave a new opportunity for an Operations / Site Administrator to join our team. Thisis a new position in our growing business. About You The Operations / Site Administrator would support civil construction projects across mine sites. Based in the Perth Office Monday to Friday, the Administrator would take ownership of the construction projects working with the director and supervisors. The Administrator would also provide support to the workshop and procurement team. This is a varied and autonomous position. Requirements

  • Previous experience in a fast paced work environment
  • Proactive in providing communication and admin support to Supervisor and crew
  • Strong organisation and communication skills
  • Intermediate clerical skills
  • High level of efficiency and organisation skills
  • Proficient in Excel, Word and MS Suite
  • Strong analytical and problem-solving skills
  • Strong communication skills, verbal and written

Nice To Haves

  • Previous mining and/or construction experienced preferred
  • Mobilisation Experience advantageous
  • Senior First Aid (desirable)

Responsibilities

  • Provide support for Project Managers / Supervisors in the collection of staff reports and project data
  • Collate data in relevant templates including but not limited to safety hours, concrete registers, daily reports, manning schedules, and vehicle maintenanceProvide operational support for project purchasing including generation of Purchase Orders, receipt of goods/services and review/approval of costs within delegated authority limits
  • Assist with collation of documentation for project claims and MDRs
  • Assist Project Manager with tender or pricing documentation and collation
  • Provide Site Administrator RnR coverage as required, site allowance paid when working on site.
  • Assist with mobilisation of employees to projects, including preparation of employee documentation
  • PPE supplies are managed, issued, and recorded as appropriate
  • Maintain electronic and hard copy files as applicable in relation to employees, including the use and maintenance of the applicable HR system (Citation)
  • Collation, checking and submission of leave requests and reimbursement forms and other ongoing employee documentation
  • Compile and review all timesheets, ensuring they are correctly filled in, accurately totalled, signed by the employee and counter signed by the site supervisor, then scan and forward to payroll before 10am every Monday morning
  • Coordinate existing employees ensuring any required medical bookings are arranged to coincide with an RnR period, receiving the results in the desired time for mobilisation
  • Maintaining confidentiality of medical results in accordance with the privacy policy
  • Work with Project Managers and client site administration to coordinate rosters and travel arrangements for all project employees
  • Arrange flights and accommodation as required
  • Follow the travel procedure as laid out within the Administration management Plan
  • Ensure all flight purchases are entered onto the flight register and invoices are forwarded to Accounts.
  • Liaise with client mobilisation teams to clarify site entry requirements
  • Ensure correct and current mobilisation documentation and procedures are available and in use.
  • Scheduling and booking of medicals, inductions, and training in accordance with client processes
  • Maintain constant communication with Flanco personnel being mobilised.
