About The Position

Silicon Valley Community Foundation (SVCF) is seeking an Operations Project Manager to serve as a strategic execution partner to the Chief Financial and Operating Officer (CFOO) and divisions. This full-time, exempt level position, based in Mountain View, California, will work to progress the organization’s portfolio of initiatives while remaining deeply hands-on in planning, building, tracking, and delivering results. The role operates at both strategic and tactical levels, translating priorities into clear action plans, developing tools and materials for execution, and ensuring disciplined follow-through and accountability. Responsibilities include overseeing complex calendaring and executive coordination, managing cross-functional projects and events, preparing executive- and board-level materials and presentations, producing analytical reports, and supporting the development and tracking of departmental and divisional budgets. SVCF operates on a hybrid work model, requiring team members to be in the office twice a week, every other week (Tuesdays and Wednesdays), with additional onsite requirements when the CFOO is present. All team members must be based and hold residency in California.

Requirements

  • Bachelor’s Degree.
  • At least seven years’ experience in enterprise project management, strategy and operations, executive operations, or complex cross-functional environments.

  • Demonstrated ability to both design strategy and execute deliverables directly.
  • Strong experience building project plans, dashboards, presentations, and tracking systems from the ground up.
  • Proven success managing multiple concurrent initiatives with measurable impact.
  • Advanced proficiency in Microsoft Office Suite (PowerPoint required); familiarity with CRM systems and collaboration tools preferred.
  • Exceptional organizational skills, analytical thinking, and attention to detail.
  • High emotional intelligence, discretion, and executive presence.
  • Ability to think strategically at the process level and execute tactically.
  • Willingness to initiate and support tasks at all levels of the organization when necessary.

Responsibilities

  • Serve as an integrator across IT, Finance and Accounting, Investments, and other divisions to ensure coordinated execution.
  • Lead cross-functional meetings, capture decisions, assign action items, and ensure timely follow-through.
  • Act as an administrative partner to the CFOO in priority setting, sequencing of initiatives, and decision framing.
  • Draft communications, summaries, and executive updates to maintain alignment and transparency.
  • Support hands-on implementation of systems, operational improvements, and compliance initiatives — including documentation, workflow mapping, and process redesign.
  • Assist with change management planning and directly support rollout activities to ensure strong adoption.
  • Own and actively manage initiatives as assigned.
  • Develop detailed project plans, timelines, charters, RAID logs (risks, assumptions, issues, dependencies), dashboards, and status reports.
  • Facilitate working sessions, define scope, document requirements, and build implementation roadmaps.
  • Monitor milestones, track budgets, and directly follow up with initiative owners to ensure progress.
  • Identify risks and execution gaps early and intervene directly to resolve issues and remove barriers.
  • Develop and refine practical project management tools and templates to improve execution discipline across the division.
  • Conduct post-implementation reviews and synthesize lessons learned into process improvements.
  • Prepare detailed executive briefings, dashboards, analyses, and Board Committee materials.
  • Ensure quality-control materials for Board Committees and leadership meetings.
  • Draft presentations and supporting materials for internal and external audiences.
  • Establish and manage administrative cadences, including preparing agendas, capturing decisions, and tracking commitments.
  • Ensure follow-up actions are executed.
  • Manage complex calendaring aligned to divisional priorities, including leadership meetings, goal-setting cycles, and performance tracking.
  • Develop structured tracking systems for budgets, KPIs, and initiative performance.
  • Analyze operational data and synthesize findings into actionable recommendations.
  • Build and maintain organized documentation systems to support transparency and continuity.
  • Oversee logistics for key meetings, convenings, and travel to ensure seamless execution.
  • Prepare expense reports, invoices, and documentation as needed to support divisional operations.
  • Other related duties as assigned.
