We are currently looking for an Operations & Programs Administrative Assistant to join our dynamic, fast-paced, and growing team. The Administrative Assistant will be responsible for provides essential administrative and organizational support to the Operations and Programs teams at Rhoads Industries. This role ensures smooth day-to-day operations by managing scheduling, reservations, documentation, reporting, and general administrative tasks. The ideal candidate will be detail-oriented, proactive, and able to support multiple priorities in a fast-paced environment.

Requirements

  • High School diploma or GED required.
  • 2+ years of administrative, office, or operations support experience, preferably in a manufacturing or industrial environment.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational skills with the ability to manage multiple tasks and deadlines.
  • Strong written and verbal communication skills.
  • Detail-oriented, resourceful, and able to work both independently and collaboratively.
  • High level of professionalism and discretion in handling sensitive information.

Nice To Haves

  • Associate’s degree in Business Administration, Office Management, or related field preferred.
  • Visio or Org Chart software a plus.

Responsibilities

  • Provide administrative support to the Operations and Programs Teams, including scheduling meetings, reserving conference rooms, and coordinating travel or accommodations as needed.
  • Prepare, format, and distribute reports, presentations, and organizational charts.
  • Support document management, including copying, scanning, filing, and maintaining accurate records.
  • Assist with the preparation of operational metrics, dashboards, and recurring reports.
  • Track and manage operational requests, ensuring timely follow-up and completion.
  • Coordinate communication across Operations and other departments as needed.
  • Support special projects and initiatives to improve efficiency and workflow within the Operations function.
  • Perform general administrative duties such as ordering supplies, maintaining shared calendars, and assisting with correspondence.
  • Additional duties as assigned.
