About The Position

The Operations Manager leads the day-to-day execution of IW's operational systems. The role translates strategy into reliable facilities, vendor, office, procurement, and outsourced technology processes and directly supervises the Operations Assistant and Front Desk Associate.

Requirements

  • Bachelor's degree preferred; equivalent relevant experience may be considered.
  • At least three years of progressively responsible experience in operations, office management, facilities, vendor management, or a related function.
  • Prior supervisory or team-lead experience preferred.
  • Strong organizational, project-management, follow-through, and problem-solving skills.
  • Strong communication skills, professionalism, sound judgment, and customer-service orientation.

Responsibilities

  • Manage the day-to-day work of the Operations department and supervise the Operations Assistant and Front Desk Associate.
  • Implement operational priorities, policies, procedures, and work plans established by the Director of Operations.
  • Coordinate RFP administration, procurement activities, vendor research, proposal collection, and supporting documentation.
  • Administer contracts and maintain routine vendor relationships, including performance follow-up, renewal preparation, and issue resolution.
  • Lead day-to-day facilities operations, including work orders, repairs, preventive maintenance, cleaning, building services, and vendor scheduling.
  • Maintain oversight of building access, keys, badges, security coordination, and office safety procedures.
  • Serve as the primary internal liaison to IW's outsourced IT vendor; coordinate onboarding/offboarding requests, escalated tickets, equipment setup, and conference-room technology.
  • Manage technology equipment inventory and coordinate issuance, return, replacement, and disposal of devices.
  • Oversee office operations, conference-room systems, supplies, reception standards, mail processes, and meeting-support procedures.
  • Monitor operational spending, purchasing activity, and vendor invoices in accordance with approved budgets and Finance procedures.
  • Ensure reliable backup coverage for critical office and administrative functions.
  • Perform other duties and operational projects as assigned.
