Requirements

  • 4-year degree
  • Previous experience working in an operational-type role preferred
  • Good computer skills with emphasis on Microsoft Word and property management software
  • Excel experience preferred
  • A basic understanding of accounting principles

Responsibilities

  • Establishes and maintains good relations with residents, prospective residents, and vendors.
  • Maintains controls over Accounts Receivable, including applying payments, making daily bank deposits, following up on payments, creating NSF notification letters, adjusting ledgers, inputting concessions, and updating lease information.
  • Maintains current and complete property management software information, inputting daily activities such as move-ins, move-outs, notices to vacate, resident transfers, lease renewals, lease changes, household demographics, search tag information, and application approvals/rejections.
  • Administers the lease renewal program, including completing renewal worksheets, generating and delivering renewal letters and leases, and updating the property management system.
  • Ensures residents who give notice to vacate receive a follow-up call.
  • Generates and delivers general correspondence to residents, vendors, and prospective residents, including lease violation notices, certificate of insurance updates, and application rejection letters.
  • Inspects the condition of move-outs promptly to document charges before refunding security deposits.
  • Generates and balances month-end reports from the property management program.
  • Maintains a collection policy for residents who moved out with a balance on their account and submits a monthly report on collection account status.
  • Assists in marketing long-term vacant units.
  • Assists the property manager with evictions and complies with state eviction laws.
  • Assists in monitoring property condition and reports concerns/liabilities.
  • Adheres to established fair housing policies.
  • Communicates with co-workers, management, residents, vendors, and outside contacts courteously and professionally.
  • Maintains confidentiality of sensitive information.
  • Performs leasing activities in the absence or unavailability of the Leasing Consultant.
  • Plans, organizes, promotes, and implements resident functions in collaboration with management staff.
  • Performs general office duties such as answering the telephone, writing service requests, filing, monitoring, and ordering office supplies.
  • Prepares invoices for approval in the Property Manager's absence.
  • Performs all reasonable duties assigned by management.
  • Performs property manager duties in the absence of the Property Manager.
  • Responsible for the performance of the leasing staff's closing ratio, phone conversion, and shopping reports, and reports performance issues to the Property Manager.
