About The Position

The Operations Manager is responsible for a variety of tasks including warranty and finance contract closings, project coordination, customer service, database management, and commission calculations. This role requires evaluating sales agreements, creating final sales agreements, and managing the funding process. The Operations Manager will also coordinate with contractors, gather bids, manage vendors, and ensure customer satisfaction through effective service scheduling and communication. Additionally, the role involves managing deal tracking, updating company applications, and ensuring accurate commission calculations.

Responsibilities

  • Responsible for evaluating initial sales agreements against final finance documents.
  • Uses discretion to create final sales agreements to coincide with the finance documents.
  • Makes changes to sales agreements during closings with customers if there are issues at the closing table and then reprints and closes customers with revised documents.
  • Gathers additional lender required items at their discretion in order to accomplish the funding of the deal for PHV.
  • Coordinates with contractors and manages project costing.
  • Gathers bids through project completion.
  • Identifies the best vendor for each individual project.
  • Switches vendors if not satisfied with work quality or progress.
  • Alters scheduling of vendor work based on changes in customer or company priorities.
  • Holds vendors accountable to written work estimates if there are discrepancies.
  • Routinely searches for recommended new vendors or for the elimination of poor quality vendors.
  • Provides management with evaluation reports of both internal and external customers and makes recommendations on process improvements.
  • Arranges, modifies, and authorizes service via factories or vendors for the sole purpose of customer satisfaction and contract completion.
  • Alters schedule or scope of work as needed for customer satisfaction and contract completion.
  • Directly communicates with dissatisfied customers and negotiates solutions.
  • Escalates issues to upper management if cost is substantial or advice is needed on how to communicate on a specific situation.
  • Makes recommendations to management based on the facts when needing to reply to a customer or to a government body for conflict resolution.
  • Updates deal tracking and deal status reports based on their own assessment of the deal.
  • Uses company applications to update missing information from deals as seen fit.
  • Responsible for the proper review of costing for the payment of commissions.
  • Authorizes the entry of key information utilized for paying commissions.
