About The Position

dot.cards is seeking an Operations Coordinator to support the Head of Operations in managing the end-to-end operations of a hardware company. This full-time, entry-level role offers the opportunity to learn about supply chain, logistics, inventory management, and reporting within a fast-growing company. The coordinator will act as a key support for the Head of Operations, ensuring that inventory, suppliers, shipments, and reporting are managed effectively and that commitments are met.

Requirements

  • 1 to 3 years of experience in an operations, logistics, coordinator, or executive assistant role, ideally in a fast-moving environment; also open to recent graduates and students in their final year of study with relevant internship or part-time experience.
  • Interest in supply chain, logistics, or manufacturing, through coursework, internships, or work experience.
  • Strong proficiency in Excel or Google Sheets: comfortable with formulas, pivot tables, and building trackers from scratch.
  • Detail-oriented and organized, comfortable juggling multiple trackers, deadlines, and follow-ups simultaneously.
  • Comfortable following up with people, including holding others accountable to deadlines they have committed to.
  • Clear written communicator who can draft a professional email or message without heavy editing.
  • Reliable, shows up, and follows through without needing constant reminders.
  • Comfortable asking questions and flagging problems early rather than guessing.
  • Able to lift and pack boxes up to 25 lbs.

Nice To Haves

  • Experience with Shopify, Amazon Seller Central, or a 3PL or warehouse management portal.

Responsibilities

  • Coordinate with customer support, sales, procurement, and the warehouse to support the custom product order process from order confirmation to delivery.
  • Support weekly Amazon FBA replenishment by building orders, confirming inventory quantities, and reviewing shipping carton labels with the Head of Operations for approval.
  • Assist the Head of Sales by tracking action items from meetings and following up with owners on status and deadlines.
  • Track product development status, collect quotes for prototypes and production, manage sample shipments, follow up on action items, and maintain the product development tracker.
  • Coordinate monthly sales and operations planning (S&OP) readiness across departments and schedule meetings.
  • Write and maintain Standard Operating Procedures (SOPs) for recurring operations workflows and identify workflows that need documentation.
  • Coordinate in-house sample production, prioritize the production schedule, maintain inventory levels, and document effective customization parameters.
  • Maintain a consolidated list of open items with owners and due dates, flagging any overdue or at-risk items.
  • Check vendor invoices and forward them to accounts payable, and submit receipts to the expense system.
  • Set up new SKUs and bundles, and maintain item master data in the document control database.
  • Handle office facilities requests, including coordinating with cleaning services, vendors, and landlord.
  • Draft decks, spreadsheets, and briefs for review.
  • Order lab and office supplies and maintain stock levels.
