About The Position

We are looking to fill the role of Operations Coordinator for our Knoxville office. This is an onsite position. If you are a self-motivated, detail-oriented team player who loves working in a fast-paced environment, please read more below:

Requirements

  • High school diploma
  • 3 years of records management or administrative experience, or equivalent experience
  • Must be detail oriented and proficient in MS applications including Word, Excel, PowerPoint, and Outlook
  • Position requires the use of computers and scanners on a regular basis as well as the ability to move and maintain files
  • Must have the ability to interact professionally with varying personalities and all levels within the organization

Nice To Haves

  • Experience with Acumatica is a plus

Responsibilities

  • Serves as primary point of contact with our customers to schedule fire alarm inspections to drive efficiency with technician productivity.
  • Serves as a primary point of contact with inspection technicians in regards to scheduling, sending technicians appointments from software system, and making sure paperwork is completed correctly
  • Responsible for maintaining inspection calendar 1-2 months in advance
  • Responsible for maintaining paperwork in Compliance Engine website
  • Must be proficient in Microsoft Office Suite
  • Experience with Acumatica is a plus
  • Must be detail oriented
  • Learns to enter service contracts and verify data as part of cross-training model
  • Ability to self-learn
  • Assist with preparing bid proposals
  • Assist with completing vendor applications
  • Assist Operations Manager to maintain records for licensing, bonds, and insurance documents
  • Answer sales line and respond appropriately
  • Other duties as required
