About The Position

It’s just one reason why we’re the leader in live events. This is a Part-Time as Needed role. The Operations Coordinator performs clerical duties within the branch, acting as support staff for the administrative responsibilities of the supervisory and management team. This role requires professional interaction with customers, team members, and third-party vendor/partner representatives to provide excellent service. The position also supports a safe work environment by adhering to safety policies, reporting hazards, and contributing to a safety-focused culture. This role will cover special events for intermittent periods, with scheduled hours fluctuating weekly.

Requirements

  • High School Diploma or equivalent required.
  • Basic understanding of workplace safety practices and applicable OSHA requirements.
  • Ability to consistently follow safety rules and contribute to a positive safety culture.
  • OSHA 10 Certification required.

Responsibilities

  • Perform clerical and administrative duties in an office setting.
  • Use various office software applications including word processing, email, and Excel.
  • Utilize SharePoint (ECS) and Citrix (TSS & EMS) for ticket processing.
  • Receive and deliver MRE tickets from CPIA and detail department, and deliver in-house tickets from the Detail department for the cut shop and carpenter shop as needed.
  • Sort and print tickets using SharePoint (ECS), revising them for status and completeness before printing.
  • Print the appropriate number of tickets based on show size.
  • Staple, sort, and organize printed tickets by ticket number.
  • Distribute printed tickets to the warehouse production manager.
  • Open and create new files for each individual job/show.
  • Print TSS and booking reports for each file, along with all released graphic tickets, and create a graphics file for each show for sign world.
  • Develop and modify practices to improve document workflow.
  • File and maintain documents of jobs/shows, organized by date and ticket number.
  • Create storage bins for closed shows (up to two months old) and maintain a monthly storage file list.
  • Prepare labels/tags for material bins in the office, sign world, and show site support, and create show tags for every MIS component for show site using Excel and a predefined template.
  • Operate and maintain office equipment such as printers and copy machines, performing minor fixes and contacting IT when necessary.
  • Replace toners, empty waste boxes, and maintain paper supplies.
  • May serve as a liaison with copier service and vendors.
  • Assist with other projects and special assignments as required by Freeman Management Team.
  • Follow all company safety policies, procedures, and work instructions.
  • Complete required safety training and apply safe work practices.
  • Immediately report any workplace accidents, near misses, hazards, or unsafe conditions.
  • Participate in safety discussions and communicate concerns or feedback openly.
  • Use tools, equipment, and protective gear properly.
  • Perform other duties as assigned.
