The Operations Coordinator in our Branch Network Division requires a blend of skills and experience that are specifically focused on inventory management. Under the direction of the Director of Operations Branch Network, the Operations Coordinator administratively supports the Internal Operations managers around Event Production. Responsibilities include maintaining accurate inventory using several different processes. Some of these processes include cycle counting, report running, and maintaining a high level of communication among various departments. Maintaining the accuracy and integrity of inventory is a vital component to ensure continued operations and avoids product or inventory shortages. This position is designed to provide an administrative strength capable of driving existing processes and managing significant amounts of detailed information. Success in this position is defined by the coordinators ability to adhere to and expand upon the processes in place driving the teams consistent ability to meet our daily goal: delivering the right equipment, in good repair, to the right place, at the right time.

Responsibilities

  • Maintain the integrity and accuracy of all POR (Point of Rental) data within Mid-Atlantic Branch Operations.
  • Audit all tickets for accuracy, completeness, and correct status (reservation, open, review billing, etc.).
  • Oversee missing or damaged, repair, and missing equipment tickets; ensuring proper reporting procedures are followed.
  • Ensure that all inventory leaving is accompanied by a POR ticket.
  • Enter, track, and maintain subrental tickets.
  • Manage overbookings.
  • Communicate clearly and effectively to other departments and purchasing as needed.
  • Report to management on inventory discrepancies in the warehouse management system.
  • Clearly communicate to sales when inventory is overbooked, strategically suggesting updated and available inventory as needed.
  • Oversee the return of subrented equipment to correct departments or vendors, ensuring all documentation is complete and audit-ready, while ensuring accurate billing and documentation.
  • Support with annual, quarterly, and ad-hoc inventory counts, ensuring documented procedures are followed and results are accurate.
  • Follow best safety practices.
  • Support other departments and divisions, as needed – especially with training and mentoring.
  • Ensure Sales Team has provided all information needed by Internal Operations Teams 10-days prior to install.
  • Ensure Operations Team is working with the most up-to-date information as changes occur.
  • Attend production meetings with operations managers to ensure that production notes are executed during load out.
  • Organize, document and disseminate all job-specific information generated from Sales Team and production meetings.
  • Work with Internal Operations Managers and Sales Team to ensure that custom/non-inventory equipment and other non-standard project specific equipment is properly handled for accurate, thorough load outs.
  • Relay any job-related issues experienced by the Internal Operations Team back to the Sales Teams.
  • Input actual labor hours reported by the field crews into job costing documents.
  • Assist field managers with the preparation of driver packets and other scheduling activities.
  • Establish strong working relationships and demonstrate professionalism with fellow employees, especially Operations Managers, Foremen & Crewmembers, and the Sales Team.
  • Act as liaison between and coordinate with the following people/groups as needed to facilitate successful events: Operations and Sales Teams, Operations and Management, Other company divisions.
  • Assist other team members as needed.
  • Additional duties as assigned.
  • Ability to travel between locations and sites, at times with limited notice.
  • Availability after hours or on weekends, especially during peak season, at times with limited notice.
