About The Position

Whipple Service Champions is seeking a highly organized and proactive Operations Coordinator to support its growing operations across the market area. This role will be based in the St. George office and will serve as a shared market resource, supporting multiple locations and teams in areas including dispatch, scheduling, payroll administration, customer relations, and general operational support. The ideal candidate thrives in a fast-moving environment, enjoys problem-solving, communicates exceptionally well, and is willing to provide additional support where needed.

Requirements

  • Experience in HVAC, plumbing, electrical, home services, or another field-service environment strongly preferred.
  • Previous experience in dispatch, scheduling, office operations, customer service, payroll, or a similar support function preferred.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and follow-through.
  • Comfortable working in a fast-paced environment where priorities can change throughout the day.
  • Ability to work independently while remaining highly collaborative with multiple teams.
  • Strong problem-solving skills and the confidence to take initiative.
  • Comfortable handling difficult customer conversations professionally.
  • High degree of discretion when working with employee, payroll, and customer information.

Nice To Haves

  • Experience with ServiceTitan or similar field-service software is a plus.

Responsibilities

  • Provide dispatch and scheduling support as needed across the market area.
  • Assist with coverage during vacations, PTO, high-volume periods, and other staffing gaps.
  • Provide additional weekend dispatch coverage when required.
  • Help ensure technicians are scheduled and dispatched effectively to support customers and business needs.
  • Communicate proactively with technicians, leadership, and customers when schedules or priorities change.
  • Help identify and resolve scheduling or dispatch issues before they negatively impact the customer experience.
  • Assist with payroll preparation, review, and administrative processes.
  • Help identify and resolve payroll discrepancies in a timely manner.
  • Maintain accurate employee and operational records.
  • Partner with managers and centralized support teams to ensure information is accurate and submitted on time.
  • Provide administrative support for other critical market functions as needed.
  • Serve as an additional resource for escalated customer concerns and service issues.
  • Help resolve customer concerns quickly, professionally, and with an ownership mindset.
  • Coordinate with field leadership and technicians when additional information is needed to resolve an issue.
  • Assist with customer follow-up and communication.
  • Help ensure customers receive a consistent experience regardless of which location or team is supporting them.
  • Serve as a flexible support resource across the broader market area based on business needs.
  • Build strong working relationships with local offices, field leadership, dispatch, payroll, and customer-support teams.
  • Develop an understanding of the unique needs, personnel, and operating practices of each supported location.
  • Provide coverage and redundancy for critical office functions during vacations, absences, peak seasons, and periods of increased demand.
  • Identify recurring administrative or operational pain points and recommend process improvements.
  • Assist leadership with special projects and operational initiatives as needed.
