About The Position

Relay Fire & Safety is growing, and we're looking for an Operations & Compliance Coordinator to join our team in Massapequa, NY. This is a hands-on operations role supporting our fire and life safety business across Long Island and the New York City market. You'll play an important part in coordinating FDNY inspections and testing, resolving violations and summonses, reviewing completed field work for quality and compliance, and keeping day-to-day operations organized and moving forward. Experience in fire protection is a plus, but not required. We're equally interested in candidates coming from construction, field service, facilities, mechanical/electrical services, or another fast-paced service environment who know how to get things done.

Requirements

  • Organized, proactive, detail-oriented, and comfortable working in a fast-paced environment
  • Ability to look at a list of competing priorities, figure out what needs attention first, and keep everyone informed
  • 2+ years of experience in an operations, administrative, compliance, scheduling, service coordination, or office support role
  • Strong organizational and time-management skills
  • Excellent attention to detail and commitment to accuracy
  • Ability to manage multiple deadlines and changing priorities
  • Strong written and verbal communication skills
  • Confidence communicating with customers, technicians, leadership, and outside agencies
  • Strong Microsoft Office skills
  • Comfortable learning new software and technology
  • Ability to work effectively in a high-pressure, deadline-driven environment
  • Valid driver's license

Responsibilities

  • Schedule and coordinate FDNY inspections, testing, and related appointments
  • Confirm, track, and document scheduled inspections and compliance activities
  • Help manage and resolve violations and summonses
  • Maintain accurate compliance records and follow up on outstanding items
  • Help ensure customer accounts and projects remain in good standing
  • Perform daily quality checks on completed technician work
  • Review documentation for accuracy, completeness, and compliance
  • Help ensure completed jobs meet company and regulatory requirements
  • Communicate with technicians and operations team members to resolve missing or incomplete information
  • Support efficient day-to-day field operations
  • Coordinate daily office and operational activities
  • Track multiple priorities, deadlines, appointments, and outstanding action items
  • Identify potential bottlenecks and proactively follow up to keep work moving
  • Support leadership and other departments with operational needs and special projects
  • Prepare reports and maintain accurate digital and physical records
  • Manage email, phone, mail, and other business communications
  • Maintain organized documentation and files
  • Help maintain an efficient and professional office environment
  • Track and replenish office supplies as needed
