About The Position

Our client is an analytics company transforming how independent schools and nonprofits use data. They are on a mission to bring AI-powered analytics to board reporting—making strategic intelligence accessible, actionable, and beautiful. We're looking for a Operations Manager / Chief of Staff who is part operations strategist, part AI tinkerer. You’ll build internal infrastructure using AI agents and no-code tools , automate everything that can be automated, and support the CEO in running a lean, high-performance company. From client onboarding to monthly reporting, you’ll reduce manual workload and create scalable systems to unlock growth. If you’re the type who builds GPT agents in your spare time, runs your life in Notion + Zapier, and dreams in workflows—this is your role.

Requirements

  • 3-5 years in startup operations, systems design, automation, or a Chief of Staff-type role
  • Strong experience with automation platforms (Zapier, Make, Airtable, Notion, HubSpot)
  • Comfortable building and integrating AI tools and agents (GPT-based workflows, no-code AI agents, Slackbots, etc.)
  • Systems thinker: you love building once and automating forever
  • Experience managing projects across functions with minimal oversight
  • Exceptional communication skills, both written and verbal.
  • Proactive problem-solver with a high level of adaptability.
  • Strong attention to detail, with the ability to balance strategic thinking and tactical execution.

Nice To Haves

  • Experience in SaaS, analytics, or nonprofit/education sectors
  • Familiarity with BigQuery, Looker Studio, or data analytics tools

Responsibilities

  • Design and deploy AI-powered agents to automate internal processes (client onboarding, reporting QA, outreach, support)
  • Build and optimize workflows using no-code automation tools (Zapier, Make, Airtable, Notion, HubSpot, etc.)
  • Identify and eliminate bottlenecks in every part of the business—from sales and ops to client delivery
  • Create internal dashboards, trackers, and systems for task management and project tracking
  • Serve as the founder’s right hand—prioritizing tasks, running special projects, and helping keep the company aligned and efficient
  • Support hiring, contractor coordination, and team communication systems
  • Build a knowledge base and SOP library so everything runs like a product
  • Serve as a jack-of-all-trades, supporting across various operational and administrative tasks.
  • Act as a liaison for the rest of the team to ensure smooth communication and alignment.
  • Manage client to-do lists, deadlines, and priorities to keep the team on track.
  • Research, evaluate, and implement AI tools to automate internal processes such as transcribing sales calls, generating sales scripts, and other productivity enhancements.
  • Streamline, document, and maintain standard operating procedures (SOPs) to increase efficiency and scalability.
  • Continuously identify opportunities to leverage AI and automation to improve operations and reduce manual work.
  • Oversee scheduling, calendar management, and travel planning.
  • Handle expense reporting and other administrative functions.
  • Support day-to-day operations and ensure effective execution of business priorities.
