About The Position

The College of Business at Florida Atlantic University is seeking an Operations Assistant, College of Business - Executive Education - Boca Raton, FL. The FAU College of Business is one of the largest AACSB-accredited colleges of business in the United States with more than 8,000 students. The college has seven departments and an impressive offering of degree programs at both the undergraduate and graduate levels (including Ph.D.) as well as many online, executive, and certificate programs. The Operations Assistant position requires a service-oriented, detail-focused individual with strong communication and organizational skills. The ideal candidate is outgoing, able to multitask and prioritize responsibilities, works well under deadlines in a fast-paced environment, and is a collaborative team player with a flexible schedule. The Operations Assistant role supports the day-to-day operations and overall use of the Boca Schmidt Family Complex by students and faculty. Periodically conducts observation rounds throughout the College of Business to ensure that all spaces, entrances and exits, offices, and room doors are secure and maintained in a clean and orderly condition, while also working alongside the Building Manager to support the upkeep and maintenance of the Boca Schmidt Family Complex. In addition, the Operations Assistant assists with event programming and the coordination of Executive Education activities on the Boca campus, including Orientation, graduation events, evening class functions, and other related events. Responsible for facility and reception area support, including assisting students, faculty, and staff, routine checks of space (study rooms, computer lab, restrooms, and common areas), and changing signage to reflect upcoming programs/events. Provide support for university events by coordinating the setup, maintenance, and breakdown of event spaces, including setting up refreshments and catering on evenings and weekends. Assist with students and faculty during the weeknight and weekend courses offered in Executive Education, including addressing inquiries and concerns regarding building facilities and services. Troubleshoot and monitor the condition of buildings and facilities, report any facility issues and concerns to the appropriate authority, and ensure that repairs are carried out promptly and efficiently. Communicate unresolved concerns in accordance with the proper chain of command. Assist the Building Manager in day-to-day operations, including the coordination of maintenance, repairs, and security tasks. Maintain records of maintenance activities, prepare reports, and manage documentation related to building operations. Liaise with external contractors, university staff, and other stakeholders to ensure seamless communication and collaboration on facility-related matters. Assist in ensuring that all safety regulations and protocols are followed. Manage incoming deliveries. Other job-related duties as assigned.

Requirements

  • High school diploma or equivalent from an accredited institution and five years of work experience of appropriate experience required.
