About The Position

Under the direction and leadership of the Operations and Event Services (OES) Coordinator, and supported by the University Center team, Operations Assistants are expected to be exemplary, especially in levels of maturity, responsibility, judgement, conduct, and scholarship. The Operations Assistant oversees the operation of the University Center “footprint” (defined as the Mary Graydon Student Center, Butler Pavilion, Residence Hall Formal Lounges, Quad, Amphitheater, and outdoor tabling locations) throughout the day, and acts on behalf of the University Center professional staff during evening and weekend hours, as well as in their absence. The Operations Assistant interprets and implements department and university policies while overseeing building operations, meeting & event support, information desk/phone line and a variety of programs and services. The following requirements, duties and responsibilities are expected of all Operations Assistants.

Requirements

  • Must be a dedicated and driven student who demonstrates strong interpersonal, oral and written communication skills.
  • Must be able to work both independently and as part of a team environment performing all essential job functions accurately and efficiently with minimal direct supervision, while also cooperating/collaborating with staff at a level as a member of the University community.
  • Ability to prioritize both work related tasks and personal/school life.
  • Ability to be a quick learner through training to possess the requisite knowledge, experience, and skills necessary.
  • Demonstrate the ability to perform all essential functions of the position.
  • Organized, analytical and detailed-oriented individual capable of performing under a variety of requirements and deadlines.
  • Willingness to uphold policies and procedures in the building and event spaces, working with staff, faculty, students, and guests for their respective events.
  • Ability to exercise authority and good judgment in the absence of or in conjunction with the OES Coordinator and the University Center Staff.
  • Demonstrate exceptional leadership characteristics and interpersonal skills.
  • Possess a strong sense of personal and professional integrity, exercising tact and diplomacy.
  • Must be willing and able to represent the American University effectively in situations of significant importance to the present and future successes of the University.
  • Remain alert and knowledgeable of all University Center policies and procedures as it relates to the footprint, event space, and the Operations Assistant position.
  • Successful candidates must be in good academic standing.
  • Must be a currently enrolled undergraduate student at the American University with a valid AU email account.
  • Must be willing and able to lift items up to 25 lbs.
  • Flexibility to work mornings, nights, and weekends for 10-12 hours per week.
  • Ability to work with diverse populations.
  • Customer service, positivity, patience, flexibility, and a can-do attitude are required.

Responsibilities

  • Oversee daily building operations while on duty with a specific emphasis on the responsibility for general cleanliness, maintenance, event/meeting set-up/breakdown; overseeing services & programs and security & safety of building occupants.
  • Perform and verify the setup and equipment requested is complete (and clean) in the exact manner as described on the setup report (unless otherwise directed).
  • When possible, perform future setups requested according to and described on the setup report (work ahead).
  • Assist event coordinator(s) with any additional or requested program needs.
  • Be familiar with workflow of the day and the events taking place in the University Center footprint.
  • Answer the main University information line, directing calls and answering questions to the best of your ability.
  • Tend to information desk while assisting staff, faculty, students, and guests with inquiries.
  • Oversee information tabling procedures for the University Center footprint.
  • Keep updated Operations Assistant Reports (OARs) which highlight issues with maintenance & custodial, meeting and event information & attendance counts, student personnel, and building rounds. This includes reaching out to the OES Coordinator and other campus partners for any pertinent issues.
  • Serve as a resource for the University Center footprint, respond to questions, provide information & directions to areas on campus, display exemplary customer service and utilize effective decision-making ability.
  • Be proactive in the establishment of polices and make appropriate recommendations regarding pertinent issues working with the OES Coordinator.
  • Assist in managing, maintaining, and hanging advertisements as directed in designated spaces in the University Center footprint.
  • Be familiar with University Center footprint – information, setups, offices, AV needs.
  • Be able to address emergency situations, disturbances, and alarms. If a situation arises beyond the scope of control, coordinate with the staff on duty and/or Public Safety should be notified for intervention/additional support for emergency situations.
  • Perform opening and closing procedures at the beginning and end of each day, if applicable.
  • Follow all policies and procedures as outlined in the Operations Assistant handbook.
  • Stay alert and informed on university events and procedures to provide the highest level of service for faculty, staff, and guests.
  • Other duties as assigned by the University Center Staff.
  • Attend any required trainings and meetings, as directed by the OES Coordinator.
