PRIMARY RESPONSIBILITIES Program Oversight: Provides leadership and direction for the overall service delivery and organization operation. Tracks organizational work and strategic plans to ensure agency goals are met and tasks are accomplished in line with these plans. In collaboration with Executive Director, develops, implements and monitors performance measurement indicators for Solace. Provides regular updates on performance to the Leadership Team. Guide and oversee organizational systems, e.g. technology/infrastructure, office operations, central databases, financial systems, etc. Subject matter expert on agency policies and operational procedures. Financial Administration: Ensures that the agency expenses, bills, and payroll are routinely paid in accordance with grant requirements and agency policy. Coordinates financial reporting and acts as liaison to the Finance Committee Leads creation and tracking of yearly operating budget. Tracks and submits all agency reimbursement requests Provides oversight of financial operations and policies for the organization Primary contact for financial vendor contracts Grants Administration: Responsible for post-award grant administration, overseeing approved funding contracts to ensure that documentation and reporting requirements are met prior to due dates. Prepare and provide reporting of current grant funding usage and provide expertise in the ways in which to maximize grant spending. Develop and modify policies/procedures/systems in accordance with grant (federal, state, community, etc.) requirements and organizational needs and objectives. Responsible for external monitoring visits, reviews, audits and site evaluations. Oversee the creation and maintenance of agency data collection including procedures and databases. Responsible for updating registrations and requirements for state and federal grants (SAM, CAGE, etc.). Supports Development personnel in gathering and preparing requested documentation and information for grant applications Take the lead in ensuring the accuracy and completeness of each organizational and grant record; upload, purge, maintain and archive electronic and paper files of all grant documents Become and maintain subject-matter expertise in all grants received by the agency. This includes, but is not limited to, VOCA, SASP, FVPSA, STOP, SEUW, etc. Information and Technology: Oversees and coordinates the organization’s information and technology needs. Point of contact for technology vendors including, but not limited to, managed IT, security system, printer, internet and phone, etc., and maintains associated contracts Serve as an administrative and subject matter expert on agency software and internal systems including, but not limited to: Microsoft365, electronic health record, donor management software, security software, time tracking, online training programs, etc. Ensures smooth workings of all administrative systems and procedures, regularly updating documentation of office procedures and assists with the implementation of process improvements when appropriate.
