About The Position

Kentro is hiring an experienced Operations Administrator to support our VA-ESOM- End Point Support and Operations Monitoring contract across the United States. The VA is responsible for providing comprehensive onsite and remote support to IT customers across all VA Administrations and special program offices, including direct support of over 340,000 VA employees and thousands of contractors who use government-furnished IT equipment and infrastructure. The VA provides support staff across 100+ CONUS and OCONUS locations, including difficult-to-accommodate locales, such as high cost of living or under-supported economic areas, where VA offices or facilities may be located and require onsite services. In this role, you will be responsible for executing a variety of tasks related to onboarding new hires and ensuring a smooth transition into the organization. You will coordinate pre-hire documentation, security protocols, and pre-hire activities. Building strong, positive relationships with new hires, Hiring Managers, and both internal and external stakeholders will be an essential part of your day-to-day responsibilities. Additional duties include capturing meeting minutes, updating email groups, and supporting administrative tasks as needed. Throughout all activities, you will be expected to continuously promote and embody the Kentro brand and culture. This position can be performed remotely within the United States and will support Eastern Time working hours.

Requirements

  • Bachelor’s degree (Minimum)
  • Proven ability to build relationships and engage all stakeholders to arrive at optimal outcomes
  • Excellent verbal and written communication skills
  • Strong proficiency with Microsoft Word, PowerPoint, Excel, and Outlook
  • Ability to work independently, and able to work with a high-performing project management team
  • Self-motivated to complete tasks as needed
  • US Citizen or Green card holder
  • Willing and able to obtain and maintain Public Trust Clearance

Responsibilities

  • Overseeing and maintaining public trust security clearance processes, including managing sensitive paperwork, coordinating with government agencies, and ensuring compliance with security regulations.
  • Coordinating pre-hire documentation, security protocols, and preparatory activities.
  • Drafting and distributing welcome emails, coordinating with pre-hires, and supporting integration of new resources.
  • Collaborating with HR to ensure compliance with federal/state regulations and organizational requirements.
  • Providing recommendations to improve onboarding processes, tools, and workflows.
  • Building positive relationships with hiring managers and stakeholders.
  • Facilitating communication among stakeholders, scheduling tasks, and organizing meetings.
  • Capturing and distributing meeting minutes; managing email groups and distribution lists.
  • Handling incoming correspondence professionally and maintaining clear communication channels.
  • Maintaining accurate records, databases, and SharePoint sites.
  • Organizing and safeguarding electronic files, ensuring proper handling of sensitive and classified information.
  • Assisting with operational activities, including developing procedures, guidelines, and best practices.
  • Preparing reports, presentations, and internal documents as needed.
  • Gathering and analyzing data to identify trends and areas for improvement.
  • Developing detailed and ad hoc reports to support decision-making.
