Responsibilities

  • Process and triage all incoming mail and documents, including wage garnishments, child support orders, certified mail, carrier correspondence, and compliance/regulatory notices.
  • Coordinate communication between FFL downline agencies, carriers, and vendors as needed.
  • Respond to routine agent, carrier, and internal inquiries, ensuring accurate information is provided or escalated to the Operations Manager when needed.
  • Provide administrative support including preparing reports, updating agent records, and organizing departmental files.
  • Manage digital and physical file organization, including scanning, indexing, archiving, and preparing documents.
  • Monitor and track operational metrics, performance indicators, and service-level commitments.
  • Support Accounts Payable tasks such as data verification, file maintenance, and document processing.
  • Process vendor invoices and establish new purchase orders with accuracy and timeliness, ensuring proper coding and approvals.
  • Assist with weekly ACH payments and reconciliation of AP accounts.
  • Maintain vendor files, W-9 documentation, and ensure compliance with corporate and regulatory requirements.
  • Communicate with agents and vendors to resolve discrepancies, answer inquiries, and maintain positive relationships.
  • Support month-end closing processes, including accruals and reporting.
