Department of Revenue is recruiting for an Operations Administration Specialist (Administrative Specialist 1) position. We are looking for a talented, detail-oriented individual to join our Information Technology Services Division in the Processing Center Operations unit. This position is headquartered in our Salem office; however, the successful candidate may be eligible for in-state hybrid work. Hybrid work consists of performing duties onsite in a standard office environment and working remotely. In order to be considered for Department of Revenue recruitments, you must reside within the state of Oregon. Current Revenue employees who live outside of Oregon may apply and will be considered.

Requirements

  • Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data; OR
  • An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data; OR
  • An equivalent combination of education and experience.

Nice To Haves

  • Teamwork: Supports a group of Operations and Policy analysts needs to work well as a team spanning a variety of functions
  • Attention to detail: Is responsible for financial reconciliation of check payments via Quick Modules. Attention to detail and tracking is vital.
  • Good communication skills (written and oral): Supports a group of Operations and Policy analysts and works with Oregon Treasury on bank corrections. Needs to be clear and concise with communication.

Responsibilities

  • Work in our reconciliation software to research, reconcile, correct, adjust records, and facilitate resolution of any processing errors.
  • Work bank corrections, conduct payment record search, and adjust payments in our systems.
  • Assist the OA team in testing the season-up configurations each year to ensure outputs conform with system requirements.
  • Develop system user manuals or procedures.
  • Coordinate communication both in and out of the section regarding system procedures and workflows related to the processing center systems.
  • Monitor incoming communication to the unit and facilitate that communication.
