About The Position

The Operational Support Services Specialist supports the Revenue Cycle team by managing incoming and outgoing patient and insurance correspondence. Reporting to the Manager of Support Services, this role is responsible for receiving, sorting, scanning, indexing, and distributing documents from multiple sources while ensuring accuracy, efficiency, and compliance with HIPAA and organizational policies. The specialist plays a critical role in supporting timely account resolution and minimizing potential financial loss.

Requirements

  • Minimum of 1 year of healthcare industry experience.
  • High school diploma or GED equivalent.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office or Google Workspace applications.
  • Ability to quickly learn and utilize proprietary systems and healthcare technology platforms.

Nice To Haves

  • Familiarity with healthcare revenue cycle processes and patient financial services operations.

Responsibilities

  • Receive and process patient and insurance correspondence from various sources, including mail, email, fax, and bank lockbox transactions.
  • Sort, organize, date-stamp, and distribute incoming correspondence to the appropriate departments and team members.
  • Scan, separate, index, and upload documents into document imaging, workflow, and patient accounting systems.
  • Demonstrate an understanding of healthcare revenue cycle processes, including patient billing, collections, denials, and financial assistance programs, to accurately triage documentation.
  • Ensure mailroom and document imaging activities are completed promptly and accurately to support efficient account resolution.
  • Maintain compliance with HIPAA regulations and company policies related to document security and electronic storage.
  • Assist with training new team members and participate in cross-training initiatives to support departmental operations.
  • Perform additional duties and special projects as assigned by leadership.
