About The Position

This position provides administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The role involves managing organizational event calendars, handling communications, preparing and editing correspondence, coordinating actions with various teams, tracking training progress, assisting with timekeeping, preparing travel requests and claims, preparing purchase requests, and submitting/tracking work orders.

Requirements

  • High school diploma or equivalent.
  • Minimum of six years’ experience providing administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
  • DoD Secret or higher security clearance, or the ability to obtain and maintain a Secret clearance.
  • U.S. Citizenship is required.
  • Ability to obtain and maintain a security clearance.
  • Satisfactory background screening.
  • Negative drug test.
  • Positive references.
  • Proof of identity and legal authorization to work in the United States.

Nice To Haves

  • Prior military organization employment as military or civilian, and corresponding understanding of military headquarters staff organization, roles, and relationships.
  • Executive-level or senior manager-level administrative support.
  • Professional user of Microsoft’s Office suite of software and applications (e.g., Outlook, Word, Excel, PowerPoint, Visio), as well as SharePoint.

Responsibilities

  • Receive visitors, arrange meetings, conference calls, etc. and manage organizational event calendars in Microsoft Outlook, SharePoint, or other similar digital information technology means.
  • Receive and route incoming communications, e.g., telephone calls, e-mail messages, postal mail, etc.
  • Prepare and edit correspondence in accordance with Army Regulation 25-50 and applicable subordinate organizations’ directives.
  • Coordinate actions with directorate test divisions’ Operation Specialists, administrative staff, and Staff Support Program Management Office.
  • Track accomplishment progress by employees of mandatory training using Training Tracker Module (ATTM).
  • Assist in managing timekeeping information for Government employees in Automated Time Attendance and Production System (ATAAPS).
  • Assist in preparing and routing official Government business travel requests and completed travel claims for Government employees in Defense Travel System (DTS) consistent with Department of Defense Joint Travel Regulations (JTR) and applicable subordinate directives.
  • Prepare purchase requests.
  • Submit and track work orders
