About The Position

The general function of this position is to provide administrative, academic, and clinical support to providers and fellows in the Department of Neurology. Administrative support includes literature searches, making travel arrangements, preparing grant applications, documents, and letters, proofreading, assisting with manuscript preparation and reference management, and maintaining patient databases. Clinical support primarily includes interfacing between the patient and provider for scheduling, assistance in obtaining prescriptions, follow-up on care issues, etc. Organizing and scheduling conferences and meetings, assisting with keeping credentials and licenses up-to-date. This position requires a high level of attention to detail and the ability to prioritize and multitask.

Requirements

  • Bachelor’s degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, women and gender studies, psychology, computer science, information systems, business, health sciences, physical sciences, public administration, business administration, higher education, counseling, hospitality, human services, and student affairs.
  • One (1) year of experience working in an academic medical office environment.
  • Two (2) years of experience working in an academic medical office environment.
  • Three to five (3-5) years of experience working in an academic medical office environment.
  • Knowledge of current LCME, CUSOM, UME, AND CME policies to ensure all activities meet accreditation standards.
  • Understanding of and competence in the use of the New Innovations program to build and maintain the evaluation and rotation database and schedules.
  • Demonstrated motivation and capability of performing in a complex and fast-paced environment.
  • Exceptional organizational skills and attention to detail, strong work ethic, positive problem-solving attitude, results-oriented, and able to work through projects independently.
  • Effective communication and interpersonal skills with a high degree of professionalism and competence in dealing with a variety of individuals, including physicians, program directors, university and hospital administrators, and industry representatives.
  • Proficient knowledge and work experience in Microsoft Office Suite and the ability to quickly learn new software programs.
  • Strong time management skills, ability to meet multiple deadlines, and manage interrelated and /or complex issues or transactions.
  • Ability to represent departmental activities, issues, and concerns, and communicate committee decisions back to directors and education managers.

  • Experience working with Graduate Medical programs.
  • Experience organizing and working with CME conferences and event management.
  • Experience coordinating meetings, including providing concise written documentation.

Responsibilities

  • Manage the day-to-day operations for fellowship programs and fellows
  • Assist the Program Director in developing and maintaining the educational quality of the training program & ensuring compliance with accreditation standards and regulatory requirements.
  • Coordinates accreditation activities ‐ Special Reviews, Annual Program Evaluations, etc.
  • Manages Fellow recruitment and selection process.
  • Oversee content and design on fellowship webpages on both the department's internet and intranet sites and collaborate with the department's IT team to implement changes and updates accordingly.
  • Coordinate, develop, organize, and evaluate department education conferences and events and other assigned department educational conferences, including but not limited to: CME conferences, faculty educator development trainings, community education outreach initiatives, etc.
  • Other duties as assigned.
