About The Position

The primary focus of this position is to provide comprehensive day-to-day administrative support for the Head of Oncology Portfolio Management. Your ability to thrive in a fast-paced environment, along with your strong communication and collaboration skills, will help our team run operations efficiently. You will be the key point of contact for administrative activities and execution. The ideal candidate is a proactive, independent and self-motivated administrative professional that contributes high-quality results coupled with wider business process thinking, planning and input, based on advance knowledge of the business. The candidate must be able to prioritize and work independently while utilizing an extended network to answer questions outside of areas of expertise. Success in this role requires the ability to operate effectively in a fast paced, dynamic environment, proactively identifying problems and relevant issues in ambiguous situations and handling multiple demands and priorities simultaneously are key competencies. The candidate should feel empowered to contribute new ideas, and foster enthusiasm and culture within the department. Exceptional networking, interpersonal, and communication skills combined with meticulous attention to details are essential.

Requirements

  • High School Diploma or equivalent (GED) or higher
  • A minimum of 6 years of experience in an administrative support role required
  • Prior administrative experience supporting senior leaders and supporting large teams, managing multiple projects in a fast-paced environment.
  • Expert knowledge and proficiency with general office procedures and programs within Microsoft Office (Outlook, Word, Excel, PowerPoint, Forms, Visio and SharePoint and SharePoint Design), PT&E, Ariba, Teams.
  • Proactively balance task, activities and priorities for self and others
  • Consistent demonstration of Pfizer’s values and Actionable Attitudes
  • Ability to conduct all activities and makes decisions that are in accordance with Company policies & SOPs, Pfizer Values & global regulatory and environmental guidelines
  • Demonstration of an in-depth understanding of Pfizer organization structure

Responsibilities

  • Schedule and coordinate multi-level / cross functional governance and team meetings and logistics (e.g. video, and teleconferences; uses meeting room scheduling systems)
  • Create agendas, schedule appointments and issue meeting minutes when appropriate or as requested
  • Handle highly confidential materials (e.g. new product information) on a regular basis
  • Proactively coordinate and maintain individual and team calendars for assigned team members using initiative to ensure schedule is accurate and manageable.
  • Proactively research travel options and manage end-to-end logistics for business travel, ensuring real-time monitoring on the day of travel and communicating updates or adjustments as needed.
  • Coordinate with local, global administrative partners to assist when leader is traveling to other Pfizer offices including securing office space, arranging on-site meetings with local stakeholders and colleagues (inclusive of all onsite support as needed).
  • Prepare expense reports for approval and ensures expenses are filed correctly and comply with Pfizer Corporate Travel & Expense policy.
  • Reconcile statements against actual travel expenses.
  • Use own judgment to make decisions, within scope of responsibilities.
  • Handle complex non-routine issues on a periodic basis with minimal direction
  • Handle a variety of issues and problems with limited supervision and finds innovative ways to overcome obstacles and improve operations which impact completion of own work
  • Anticipate the next step required to complete a request and takes appropriate action to alert supervisor (e.g. re-organizes supervisor’s calendar to accommodate an important meeting)
  • Demonstrate expert knowledge and proficiency with SharePoint and permission maintenance
  • Procure office supplies
  • May assist with on-boarding of new hires, either colleague or contractor staff
