About The Position

The Onboarding Specialist is responsible for facilitating the hiring and Orientation process of healthcare and administrative support workers at Sun River Health and its wholly owned subsidiaries and other affiliates, ensuring compliance with regulatory and accreditation standards and providing ongoing support and training to the staff. The Onboarding Specialist works closely with the Human Resources, clinical, operations and administrative teams to ensure a smooth and positive onboarding experience for new hires and existing employees. Sun River Health has a rich history of providing quality, affordable health care to communities in need. Founded in the early 1970s by four African American women in Peekskill, New York, the organization was established to address the lack of accessible health services in their community. With the help of a small federal grant, the first Sun River Health site opened its doors in 1975. Over the years, Sun River Health has grown into a comprehensive Federally Qualified Health Center (FQHC) system with over 45 locations, serving more than 250,000 patients across the Hudson Valley, New York City and Long Island. Our exceptional primary care practitioners, specialists and support staff are dedicated to delivering high-quality care to all individuals, regardless of their ability to pay. In December 2018, Sun River Health expanded its reach by merging with Brightpoint Health, an FQHC network offering integrated medical, behavioral and social support services in New York City. This merger allowed us to enhance our services and continue our mission under the unified name of Sun River Health. Sun River Health is currently seeking a full-time Onboarding Specialist within the HR Team. This position is a hybrid position with travel to our Peekskill, NY Executive office. The Onboarding Specialist is responsible for facilitating the hiring and Orientation process of healthcare and administrative support workers at Sun River Health and its wholly owned subsidiaries and other affiliates, ensuring compliance with regulatory and accreditation standards and providing ongoing support and training to the staff. The Onboarding Specialist works closely with the Human Resources, clinical, operations and administrative teams to ensure a smooth and positive onboarding experience for new hires and existing employees.

Requirements

  • Extremely organized and detail-oriented
  • Able to manage multiple projects simultaneously and switch from one task to another with ease
  • Able to manage large volume of candidates in onboarding pipeline - ~30 - 40 candidates at given time
  • Able to work well in a team environment, be self-motivated and work with little direct supervision
  • Able to travel to our Peekskill administrative office as needed for team meetings or other events
  • Comfortable speaking and presenting in front of groups of employees
  • A strategic liaison between their office and HQ departments including Human Resources, Special Events, Communications, and Talent Acquisition
  • Comfortable rapidly gaining and applying knowledge, and take pride in impacting all aspects of the business
  • Efficient in MS Office programs
  • Experience using Applicant Tracking Software, Oracle and document management system, Docuware is a plus!
  • Superior customer service and interpersonal communication skills
  • Strong written, organizational and analytical skills
  • Ability to uphold a professional and comfortable atmosphere throughout the office and in all aspects of their role

  • Bachelor’s degree
  • 1-2 years of experience in office setting or administrative role

Responsibilities

  • Prepare and distribute the offer letters, employment agreements and onboarding materials to the new hires including temp agency, contracted or other workers and students and/or volunteers.
  • Plan and facilitate the Orientation and training sessions for the new hires, covering topics such as company policies, procedures, benefits, culture and expectations.
  • Monitor and document the completion of the required onboarding modules, assessments and evaluations for the new hires.
  • Ensure compliance with federal, state, and local regulations, as well as accreditation standards, such as HRSA, OMH/OASAS, OSHA and more.
  • Work with the OLCP team to collect all the required documents specific to (HRSA) such as background checks, certifications, licenses and more.
  • Maintain accurate and updated records of the onboarding activities and employee files.
  • Provide ongoing support and guidance to the new hires and existing employees, answering questions, resolving issues and facilitating feedback.
  • Collaborate with the Human Resources, clinical, operations and administrative teams to identify and implement best practices and improvements for the onboarding process.
  • Participate in audits, surveys and inspections related to the onboarding and compliance functions.
  • Craft and distribute official transfer letters to employees experiencing a change in position, work schedule or other employment modifications and ensure the proper collection and archival of the signed agreements
