About The Position

Overwatch is a service-disabled Veteran-owned small business (SDVOB) certified through the National Veterans Business Development Council (NVBDC), offering construction professional services, talent acquisition, and general contractor services for the mission-critical infrastructure industry. Our mission is the construction and management of state-of-the-art data centers with the precision and reliability this industry demands. The Onboarding Specialist is responsible for managing and executing the end-to-end onboarding process for employees, contractors, and contingent workers supporting mission-critical infrastructure projects. This role serves as the primary point of contact throughout the pre-employment and onboarding lifecycle, ensuring a seamless experience while maintaining compliance with company policies, client requirements, and employment regulations.

Requirements

  • 2+ years of experience in onboarding, HR operations, recruiting coordination, or employee experience.
  • Experience managing multiple onboarding projects simultaneously in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Proficiency with Microsoft Office 365, Outlook, Teams, and HRIS platforms.

Nice To Haves

  • Experience working within Rippling or similar HRIS systems.
  • Knowledge of I-9 processing, employment verification, and onboarding compliance requirements.
  • Experience coordinating background checks, drug screenings, and client-specific onboarding requirements.
  • Familiarity with Smartsheet and onboarding workflow automation tools.

Responsibilities

  • Manage the onboarding process for W-2 employees, 1099 contractors, and contingent workers from offer acceptance through Day One readiness.
  • Serve as the primary point of contact for candidates throughout the onboarding process.
  • Coordinate onboarding timelines and communicate onboarding requirements, expectations, and next steps to new hires.
  • Facilitate virtual onboarding sessions and orientation programs.
  • Monitor onboarding milestones to ensure timely completion of all required activities.
  • Support new hire engagement initiatives and onboarding communications during an employee’s first weeks of employment.
  • Coordinate pre-employment requirements, including background checks, drug screenings, employment verification, and client-specific compliance requirements.
  • Ensure completion and compliance of Form I-9 and employment eligibility verification requirements.
  • Maintain confidentiality and security of employee and contractor records.
  • Support onboarding audits and ensure documentation is complete, accurate, and compliant.
  • Stay informed on applicable employment regulations and onboarding best practices.
  • Maintain employee and contractor records within Rippling and other company systems.
  • Enter, update, and audit employee information, reporting structures, and onboarding data.
  • Track onboarding progress and produce status reports for internal stakeholders.
  • Assist with onboarding automation workflows and system updates.
  • Partner with Recruiting, HR, Payroll, IT, Operations, and Hiring Managers to ensure new hires receive necessary equipment, system access, and training.
  • Coordinate client-specific onboarding activities and requirements when applicable.
  • Communicate onboarding status updates and escalate issues that may impact start dates or compliance timelines.
  • Ensure all internal stakeholders are aligned to support a successful onboarding experience.
  • Execute established onboarding processes and workflows for employees, contractors, and contingent workers.
  • Monitor onboarding milestones and ensure all required documentation and pre-employment requirements are completed on time.
  • Maintain accurate onboarding records and status trackers.
  • Communicate onboarding progress and outstanding items to internal stakeholders.
  • Escalate onboarding issues, delays, or compliance concerns to leadership when needed.
  • Support onboarding initiatives and programs developed by the Director of Onboarding.
