About The Position

Under general supervision, the On-Call Staffing Coordinator supports the UMMS Staffing Center outside of regular business hours by responding to urgent and time-sensitive staffing needs. This role is primarily administrative and ensures continuity of staffing operations during mornings, evenings, nights, weekends and holidays. Responsibilities include managing callouts, arranging backfill coverage, and fulfilling real-time staffing requests to maintain safe and adequate staffing levels across UMMS member organizations. The On-Call Staffing Coordinator acts with urgency, accuracy, and professionalism to provide responsive support to clinical units and team members.

Requirements

  • High school diploma or GED
  • One year of experience in staffing, scheduling, or administrative support

Responsibilities

  • Responds to Time-Sensitive Staffing Needs Answers and documents calls related to staffing issues during off-hours.
  • Responds promptly to real-time staffing requests and emergent callouts.
  • Arranges backfill coverage for unexpected absences to ensure adequate patient care coverage.
  • Executes Staffing Adjustments Coordinates deployment of available PRN and long-term staff to meet immediate needs.
  • Updates scheduling systems with sick calls, last-minute changes, and urgent reassignments.
  • Ensures accurate and timely communication of schedule updates to impacted units and team members.
  • Administrative Support Documents all off-hours staffing actions in the scheduling system.
  • Prepares brief handoff reports for the daytime Staffing Coordinators and/or Operations Manager.
  • Maintains up-to-date contact information and reference resources to support efficient responses.
  • Customer Service and Communication Provides professional and responsive customer service to clinical leaders and staff during off-hours.
  • Fosters trust by communicating with clarity, accuracy, and timeliness.
  • Escalates unresolved or complex issues to leadership as appropriate.
  • Perform all other duties as assigned.
