About The Position

The MTS Synodality Program Coordinator plays a key role in the successful implementation of the Master of Theological Studies (MTS) with a Concentration in Synodality at the Jesuit School of Theology of Santa Clara University (JST-SCU). Working in close collaboration with the Manager of Synodality Programs, this position serves as the primary point of contact for students and participants throughout the program, ensuring a cohesive and well-supported academic and formative experience. The Coordinator contributes directly to the program’s mission of forming Catholic Sisters as synodal leaders equipped to serve the Church with depth, vision, and co-responsibility.

Requirements

  • Bachelor’s degree in theology, education, communications, or a related field.
  • Demonstrated experience in program coordination, student services, or administrative roles within an academic or ministry context.
  • Excellent written and verbal communication skills in English; ability to communicate clearly, professionally, and with pastoral sensitivity.
  • Strong organizational skills with the ability to manage multiple tasks and priorities in a remote, fast-paced environment.
  • Proficiency in digital communication tools and online learning platforms (e.g., Zoom, learning management systems, email marketing tools).
  • Familiarity with the Catholic Church, its structures, and the mission of religious congregations; understanding of and commitment to the principles of synodality.
  • Collaborative spirit and ability to work effectively as part of a small, mission-driven team.

Nice To Haves

  • A background in Catholic ministry or religious studies is highly valued.
  • Master’s degree in theology, pastoral ministry, higher education administration, or a related field.
  • Experience working with Catholic Sisters, women religious, or similar ministry contexts.
  • Knowledge of or experience with synodal processes, the Synod on Synodality (2021–2024), and related ecclesial initiatives.
  • Event coordination experience, particularly for academic or ministry gatherings.
  • Bilingual skills (Spanish/English) are a plus.

Responsibilities

  • Serve as the primary liaison between the program and the cohort of 15 Catholic Sisters enrolled in the MTS concentration.
  • Manage all ongoing communication with students, including onboarding, course updates, deadlines, and general program inquiries.
  • Draft and distribute program announcements, newsletters, and informational materials in a timely and professional manner.
  • Maintain regular check-ins with participants to ensure engagement, address concerns, and foster a sense of community throughout the two-year program.
  • Coordinate communication with participants’ religious superiors and congregations as needed.
  • Work closely with the Manager of Synodality Programs in the day-to-day administration of the MTS concentration, supporting scheduling, course delivery logistics, and cohort management.
  • Coordinate the organization of extracurricular activities, including webinars, talks, reflection sessions, and other formative experiences that complement the academic curriculum.
  • Assist in the logistical planning and execution of the annual “Together at the Table” gathering at Santa Clara University, including travel, accommodations, and participant coordination.
  • Support the scheduling and facilitation of virtual meetings, live-streamed sessions, and online collaborative events involving students, faculty, and guest speakers.
  • Maintain accurate records of student participation, program milestones, and logistical details.
  • Collaborate with the Manager of Synodality Programs in identifying, planning, and coordinating extracurricular offerings that deepen participants’ formation in synodal leadership.
  • Assist in organizing pastoral encounters, intercultural dialogues, and spiritual reflection opportunities aligned with the program’s objectives.
  • Support the development and coordination of the ongoing alumni formation network, including annual events and mentorship initiatives for program graduates.
  • Assist the Manager of Synodality Programs in the promotion and visibility of the MTS concentration through digital channels, outreach to religious congregations, and broader Catholic networks.
  • Support recruitment efforts by preparing informational materials, coordinating information sessions, and responding to inquiries from prospective students.
  • Contribute to the development of content for social media, institutional websites, and other communications platforms that highlight the program’s mission and impact.
  • Collaborate in the coordination of marketing and communications strategies to ensure effective outreach to target audiences within religious communities.
  • Report regularly to the Manager of Synodality Programs on the status of student engagement, logistical operations, and any issues requiring attention.
  • Support data collection and documentation processes for program monitoring, evaluation, and learning activities.
  • Assist in the preparation of reports, presentations, and strategic recommendations as requested by program leadership.
  • Maintain organized digital files, communication records, and logistical documentation in institutional systems.
  • Other duties as assigned.
