About The Position

KMRG, LLC (KMRG) is a federal services company that hires talented professionals to support Government agencies and the communities they serve. We are hiring an Office Support Specialist to support the United States Capitol Police (USCP), Office of Information Systems (OIS), Information Resources Management Division (IRMD). In this role, you will provide day-to-day administrative and clerical support, maintain time and attendance records, coordinate access and personnel information, manage office records and supplies, and help keep IRMD operations organized and responsive.

Requirements

  • At least 1-2 years of experience providing general administrative support
  • Experience performing routine clerical, records, office-support, or comparable administrative functions
  • Experience using Microsoft Office applications, including Excel, Outlook, Word, and PowerPoint
  • Ability to maintain accurate administrative, personnel, timekeeping, and office records
  • Ability to organize information, manage multiple priorities, and meet routine deadlines
  • Customer-service skills for supporting staff, leadership, and day-to-day office requests
  • Working proficiency with Microsoft Office and ability to learn SharePoint, Microsoft Teams, Microsoft 365, and Visio
  • Ability to handle detailed administrative work with accuracy, discretion, and consistent follow-through
  • Ability to successfully complete a USCP criminal history check and fingerprinting before performing onsite work
  • Ability to qualify for and maintain a USCP identification/access badge for onsite duties
  • Ability to complete USCP building access forms and other required onboarding/access processing
  • Ability to protect sensitive and proprietary USCP information and comply with applicable confidentiality requirements

Nice To Haves

  • Experience supporting a federal agency, law-enforcement organization, or comparable Government office environment
  • Experience with Infor Workforce Management (Workbrain) or another time and attendance system

Responsibilities

  • Serve as timekeeper for ~30 Federal employees using USCP's Infor Workforce Management (Workbrain) system
  • Review timecards for required information and maintain organized time and attendance records for future retrieval
  • Process physical door access and entry requests in support of OIS Security Managers and applicable USCP Security Service Bureau procedures
  • Collect and maintain current Division personnel information, including organizational charts, office phone lists, and emergency contact lists
  • Support the IRMD Associate Director with tracking IT equipment assignments for approximately 12 contractors
  • Maintain accurate administrative records and follow established USCP procedures for assigned support activities
  • Provide general clerical and administrative support for USCP OIS and IRMD personnel
  • Receive and distribute mail, file materials, make photocopies, and complete other front-desk administrative tasks
  • Coordinate conference room reservations and other routine leadership administrative requests
  • Revise PowerPoint slides and other office materials as requested
  • Fulfill printing requests, including business cards and other printed materials
  • Scan and upload materials into established SharePoint and Microsoft Teams folders
  • Maintain orderly electronic and physical files so information can be retrieved when needed
  • Use Microsoft Office applications, including Excel, Outlook, Word, and PowerPoint, to prepare and maintain routine administrative products
  • Use or learn Microsoft Visio, SharePoint, Microsoft 365, and Teams to support office workflows and documentation
  • Protect sensitive USCP information and follow applicable confidentiality and records-handling requirements
  • Monitor office supply inventory and maintain appropriate stock levels
  • Collect, coordinate, and prepare quarterly office supply order requests based on office needs
  • Respond to routine staff and leadership support needs with professional customer service and timely follow-through
