About The Position

The Department of Industrial Accidents (DIA) mission is to administer the Commonwealth's Workers' Compensation System and to provide prompt and fair compensation to victims of occupational injuries and illnesses, and to see that medical treatment to injured workers is provided in a timely manner while balancing the needs of employers to certain workers' compensation insurance costs. The Department of Industrial Accidents is seeking a highly organized and detail-oriented Office Support Specialist II to provide essential administrative support to the Office of Dispute Resolutions and serve as the liaison between the Impartial Scheduling Unit and its internal and external customers. The successful candidate will work in a fast-paced, collaborative environment, coordinating scheduling activities, maintaining accurate records, communicating with internal and external stakeholders, and helping ensure the smooth day-to-day operations of the unit.

Requirements

  • At least (A) three years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
  • An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.
  • An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
  • Educational substitutions will only be permitted for a maximum of two years of the required experience.

Responsibilities

  • Coordinate and provide technical assistance and training to staff.
  • Discuss with management all options for resolving issues and implementing corrective action.
  • Responsible for accurately entering forms 121 and 112.
  • Enters payment information for all appeals into CMS and verifies accuracy on reports 459 and 460.
  • Accurately prepare and review vouchers for entry into CMS.
  • Processes all refund requests by judge’s offices and outside parties, coordinates the approval of refunds.
  • Aid the unit supervisor with the unit’s monthly statistical information.
  • Responsible for working with the doctors and judges’ offices on all overdue reports.
  • Responsible for maintaining the DIA’s physician’s table and DIA’s roster on the website.
  • Responsible for coordinating with the State’s Contract Unit, all new physician contracts, renewals and.
  • Responsible for coordinating between the doctor’s office, judge office and outside parties on additional fee.
  • Perform related duties as required or special projects as requested by Dispute Management.
