About The Position

The State of Nebraska's Department of Health and Human Services, Division of Child and Family Services is seeking a detail-oriented and dependable Office Specialist to join our team supporting the NE Abuse and Neglect Hotline for children and vulnerable adults. This critical role helps ensure the safety of Nebraska’s most vulnerable populations by supporting our frontline staff and supervisors in managing reports and records. The work done by this position supports the CFSS and Supervisors in the day to day managing of cases in the Eastern Service Area.

Requirements

  • Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; data search-engines or areas related to the programs and functions of the employing agency.
  • Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.

Nice To Haves

  • Experience using the NFOCUS system: This is critical for conducting data searches and reviewing case-related information efficiently and accurately.
  • Knowledge of systems such as Central Registry, Criminal Background Check, CPS, APS, Probation, and DMV databases: These systems are frequently used in handling sensitive reports and verifying information.
  • Demonstrated ability to handle high volumes of sensitive documentation with strong attention to detail: Essential for processing reports, maintaining accuracy, and ensuring confidentiality in a high-stakes environment.
  • Strong computer skills, including Microsoft Word, email, and online databases
  • Excellent verbal and written communication skills
  • Ability to maintain confidentiality and accuracy in sensitive situations
  • Comfortable interacting with diverse individuals in a professional setting
  • Detail-oriented with the ability to proofread and manage documentation efficiently
  • Familiarity with record-keeping practices, data entry, and administrative reporting

Responsibilities

  • Handling and processing reports of abuse and neglect from multiple sources: fax, email, eFax, U.S. mail, internal systems, and websites
  • Conducting data searches and reviewing information from NFOCUS, DMV, Central Registry, CPS, APS, Probation, and Criminal Background Check systems
  • Assessing reports to identify those requiring immediate attention from Child and Family Services (CFS) Specialists
  • Performing clerical and paraprofessional tasks while maintaining high confidentiality standards
  • Supporting new staff onboarding and training, including scheduling shadowing opportunities and explaining office procedures
