About The Position

The Nebraska Department of Health and Human Services is hiring an Office Specialist to join our team at the Beatrice State Developmental Center (BSDC). The Office Specialist supports the clinical team by assisting with administrative operations, including processing financial transactions, maintaining records and reports, coordinating meetings, and managing clinical supplies and documentation. This role also ensures compliance by tracking staff licensure and certifications while supporting communication through report distribution and meeting minutes. Requirements

  • Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency.
  • Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
  • Knowledge of clerical and administrative support practices; recordkeeping and database management; reporting formats; customer service principles; program policies and procedures; specialized terminology; business grammar and writing; and word/data processing software.
  • Ability to communicate effectively across multiple platforms; work with diverse individuals; summarize and report data; prepare and proofread documents; follow policies and instructions; support organizational goals; learn agency structure and procedures; maintain confidentiality; and keep accurate records.

Responsibilities

  • Process invoices, claims, requisitions, and purchase orders in a timely and accurate manner.
  • Review and verify documents, records, and reports to ensure accuracy, completeness, and proper processing of transactions; provide updates and information to supervisors and staff as needed.
  • Prepare reports, documents, and presentations by compiling and analyzing data.
  • Coordinate meeting logistics, including room setup and preparation of materials and handouts.
  • Attend clinical meetings, record detailed notes, and prepare and distribute meeting minutes.
  • Manage clinical supply inventory and ordering, including maintaining equipment lists and ensuring adequate stock levels.
  • Maintain and update departmental documentation, including Standard Work Instructions (SWIs), Standard Operating Procedures (SOPs), and policy/procedure manuals.
  • Track and maintain licensure and certification records for clinical staff (e.g., CPR, LPN, RN, APRN, PA, PT, OT, MD).
  • Provide physical assistance with escorting individuals across campus as needed.
  • Compile and distribute monthly reports to internal departments and external stakeholders.
  • Provide switchboard coverage as needed to support daily operations.
  • Serve as the primary point of contact for updating and distributing Plans of Service (POS).
