Requirements

  • High school diploma or GED required.
  • Two (2) years of experience in mailroom operations, shipping/receiving, office services, or general facilities support.
  • Basic understanding of mailroom workflows, package logging, and chain-of-custody procedures.
  • Familiarity with carriers such as UPS, FedEx, and USPS.
  • Ability to use handheld scanners, tracking software, and basic inventory tools.
  • Comfortable with Microsoft Outlook, Excel, and other standard office applications.
  • Strong customer-service orientation with the ability to interact professionally with client staff.
  • Clear verbal communication skills for deliveries, inquiries, and issue escalation.
  • Ability to follow instructions, ask clarifying questions, and maintain accuracy in fast-paced environments.
  • Ability to lift and move packages up to 50 lbs.
  • Ability to stand, walk, and perform physical tasks for extended periods.
  • Awareness of basic safety practices for material handling and medical-supply environments.
  • Reliable attendance and punctuality.
  • Ability to pass TMG background checks required by the client.
  • Professional appearance and adherence to client dress-code standards.

Nice To Haves

  • Additional vocational or technical coursework in logistics, office administration, or warehouse operations is helpful but not required.
  • Experience with package handling, delivery routing, or supply distribution preferred.
  • Prior work in a medical, pharmaceutical, or regulated environment is a plus but not mandatory.

Responsibilities

  • Handles daily mail operations including receiving, sorting, and distributing incoming mail and packages, as well as collecting and processing outbound mail and courier shipments.
  • Maintains accurate logs, performs data entry, manages mailroom inventory, and delivers supplies as needed.
  • Ensures confidentiality, follows postal regulations, and provides reliable customer service.
  • Receive, sort, and distribute all incoming mail, packages, and small freight according to established routing procedures.
  • Log all accountable packages into the tracking system, ensuring complete chain-of-custody documentation from receipt to final delivery.
  • Deliver mail and packages to designated departments, secure areas, and individual recipients with accuracy and timeliness.
  • Assist with outbound mail preparation, including postage application, carrier selection, and proper packaging.
  • Support daily dock operations by receiving inbound shipments, verifying packing slips, and notifying departments of deliveries.
  • Prepare outbound shipments, ensuring correct labeling, documentation, and carrier pickup coordination.
  • Communicate with carriers (UPS, FedEx, USPS) regarding pickups, delivery issues, or special handling needs.
  • Replenish office supplies, medical supplies, and consumables to designated areas based on par levels or client requests.
  • Maintain supply closets and distribution points in a clean, organized, and properly labeled condition.
  • Assist with inventory counts, cycle checks, and restocking activities as directed by the Site Supervisor.
  • Provide courteous, professional assistance to client staff regarding package status, mail inquiries, and supply needs.
  • Respond promptly to service requests, delivery questions, and tracking inquiries.
  • Escalate unresolved issues or exceptions to the Site Supervisor.
  • Maintain cleanliness and organization in the mailroom, dock, and supply areas, including equipment, shelving, and workstations.
  • Follow all safety guidelines for material handling, dock operations, and medical-supply environments.
  • Report safety hazards, incidents, or equipment issues to the Site Supervisor immediately.
  • Follow all SOPs, client policies, and workflow instructions provided by the Site Supervisor.
  • Assist with daily volume logs, tracking reports, and documentation as needed.
  • Support special projects, surge periods, and operational adjustments directed by the Site Supervisor.
  • Perform additional tasks as assigned to support mailroom, shipping/receiving, and supply-distribution operations.
