The Office Services Assistant will report to the Office Services Manager and be responsible for a variety of tasks within the business services group.

Requirements

  • 2+ years of Office Services experience in a large firm/company.
  • High School Diploma or equivalent.
  • Valid driver’s license with good driving history.
  • 1-2 years of general office, clerical experience, preferably in a law firm.
  • Ability to interact effectively with internal client base, always upholding a professional demeanor and demonstrating an attitude of cooperation.
  • Orientation to customer service and ability to work in a team environment.
  • Maintain a reliable attendance record.
  • Arrive to work in a timely manner and observe prescribed work break and meal periods.
  • Familiarity with and adherence to all firm policies and procedures.
  • Ability to read documents (hard-copy and electronic).
  • Ability to perform detailed work, such as entering data, filing, and distributing correspondence.
  • Maintain confidentiality of firm-related matters.
  • Ability to communicate effectively with internal client base to respond to needs, requests, and provide status updates.
  • Professional demeanor and appearance for internal client contact.
  • Flexibility with work tasks and flow due to continuous interruptions.
  • Lifting mail packets to put into mailcart, lift out of cart to deliver.
  • Carrying of mail packets to different departments.
  • Pushing mail cart.
  • Standing on feet for long periods of time to complete copy projects.
  • Lifting and moving heavy boxes.
  • Moving furniture.
  • Strong sensory abilities appropriate for the position.

Responsibilities

  • Sort and deliver incoming mail and packages.
  • Package and process outgoing overnight mail (FedEx, UPS, etc.) to meet client deadlines.
  • Maintain mail carts and mail sorter bins.
  • Maintain mail equipment in good working order.
  • Schedule outside messenger services as required.
  • Coordinate in-house messenger services, including daily bank/post office runs and firm-related errands.
  • Complete print, copy, and scan projects to meet client deadlines.
  • Maintain duplication equipment (copy machines, binding equipment, etc.) in working order.
  • Provide scanning/printing services as required.
  • Schedule outside copy services as required.
  • Participate in office and furniture set-ups/moves.
  • Participate in event preparation/breakdown.
  • Stock supply room.
  • Stock copy rooms and printer areas with copy paper and supplies.
  • Set up supplies in new attorney offices.
