About The Position

Wingspire Capital is seeking an individual who is dynamic, proactive and highly organized to serve as an Office Operations Assistant. The Office Operations Assistant will oversee specific areas of office administration, such as managing vendor relationships, overseeing supplies, scheduling facility maintenance, supporting staff, and coordinating office events to ensure the office runs smoothly and efficiently, contributing to the overall success of the organization. This role is ideal for someone who is looking for a part-time , flexible schedule but who can be regularly present in our NYC office in midtown 2-3 days a week.

Requirements

  • 2+ years of experience in an administrative support position or work in a relevant field (e.g. office/facilities management, administrative assistant)
  • Ability to work onsite in our NYC office in midtown 2-3 days a week
  • Excellent communication skills, both written and verbal
  • Highly organized with exceptional attention to detail and the ability to manage multiple priorities simultaneously
  • Flexible, adaptable, and able to thrive in a dynamic and fast-paced environment
  • Proficient using common office software (e.g., Microsoft Office Suite, Google Workspace) and social media platforms, especially LinkedIn.

Responsibilities

  • Serve as the main point of contact for all operational and logistical needs in Wingspire Capital’s office in midtown NYC
  • Lead NYC office operations, including vendors, supplies, maintenance, mail, shipping & receiving, and logistics
  • Primary point of contact for external vendors and the building landlord; handle inquiries, schedule maintenance services and repairs
  • Manage inventory to ensure the office is well equipped with snacks, beverages, and essential supplies
  • Order, organize, and maintain inventory of tech supplies (e.g., laptops, headphones, monitors, chargers)
  • Ensure the office space and storage areas are well-organized and maintained to a high standard
  • Coordinate office events such as team activities, happy hours, volunteer events and holiday parties
  • Assist with onboarding logistics for new hires such as workplace setup
  • Assist with basic marketing updates to the company website and social media accounts; Help collect and organize content for company quarterly newsletter
