About The Position

The Office Manager, OBH oversees the day to day business & staffing operations for Outpatient Behavioral Health for UMass Memorial Health - Harrington. This position will oversee staffing levels, budgetary expenses & revenue, charge capture billing, & insurance authorizations for the entire department. Under the supervision of the Director of Operations, the Office Manager has the responsibility to supervise intake coordinators, implement processes, protocols, procedures, and other administrative activities related to providing excellent customer service and quality behavioral health services to patients. This position will trouble-shoot and follow through on revenue-cycle issues regarding insurance verification, authorizations, denials/write offs, charge capture, as well as patient-related customer service complaints that may arise. The Supervisor may be assigned special projects as needed.

Requirements

  • Associate’s degree required.
  • 5+ years of office experience in a health care setting. Included in such experience must be an increasing level of responsibility, preferably in a supervisory role.
  • Must have skills/experienced with business systems, office procedures, and experience in behavioral health field.
  • Minimum of 1 year experience with third party insurance procedures relating to Behavioral Health is required.

  • Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.

Responsibilities

  • Works with the Director of Operations in establishing policies and procedures, quality assurance information, inspection and compliance information, contracts, and licenses.
  • Processes weekly payroll from OBH and submits to Payroll Department. Monitors Banked Earned Time to ensure staff compliance.
  • Regularly attends department meetings/in-service training programs/workshops to remain aware of pertinent developments and/or changes in related policies, procedures and systems.
  • Routinely meets with the Director of Operations to monitor business activity and policies/procedures throughout Behavioral Health.
  • Responds to inquiries from therapists, patients, & insurance companies regarding charges, billing discrepancies, and/or denials.
  • Works with all hospital departments to ensure smooth billing, collections and scheduling of staff.
  • Directs and supervises assigned personnel including performance evaluations, scheduling, orientation, and training. Makes recommendations on employee hires, transfers, promotions, salary changes, discipline, terminations, and similar actions. Resolves grievances and other personnel problems within position responsibilities.
  • Develops and recommends the budgets for the areas managed. Manages activities to assure financial goals are met.
  • Coordinates the assignment of tasks and helps resolve technical and operational problems. Evaluates the impact of solutions to ensure goals are achieved.
  • Provides effective direction, guidance, and leadership over the staff for effective teamwork and motivation, and fosters the effective integration of efforts with system-wide initiatives.

  • Ensures compliance with regulatory agencies such as Joint Commission, DPH, etc. Develops and maintains procedures necessary to meet regulatory requirements.
  • Ensures that department complies with hospital established policies, quality assurance programs, safety, and infection control policies and procedures.
  • Ensures adequate equipment and supplies for department.
  • Develops and maintains established departmental policies, procedures, and objectives.
  • Ensures compliance to all health and safety regulations and requirements.
  • Maintains, regular, reliable, and predictable attendance.
  • Performs similar or related duties as required or directed.
