The Office Manager plays a key role in executing assigned Office tasks. This includes overseeing the office activities, including the reception area, mail, purchasing requests, and facilities. Requirements

  • A minimum of GED or High School Diploma is required.

Responsibilities

  • Organize office operations and procedures, maintain filing systems, and oversee supply requisitions and expense tracking to ensure smooth office functioning.
  • Utilize Oracle procurement software to manage the procurement process for plant supplies, including but not limited to raw materials, equipment, and maintenance supplies.
  • Collaborate with internal stakeholders to determine supply needs and specifications, ensuring alignment with operational requirements and budget constraints.
  • Record and report payroll hours, monitor attendance records, including temporary associates, and track paid time off, overtime, and late records for accurate reporting.
  • Manage day labor and temporary associates' hours, track invoicing details, and liaise with HR and temporary agencies to provide support and communication.
  • Provide administrative assistance to the plant leadership team by creating presentations, letters, memos, and mailings and assisting in job bids.
  • Manage vendor relationships, invoice processing, and timely payments while overseeing plant badge programs and card access.
  • Greet visitors, direct calls appropriately, manage incoming calls, maintain the plant bulletin board and phone lists, and distribute mail.
  • Act as a point of contact for employees in the absence of HR/Management, assisting with inquiries and guidance.
  • Organize administrative documents, manage plant uniform programs, track milk and cream receivables, and support finance reports and inventory reconciliations.
  • Compliant with all legal requirements concerning dairy processing and safety on their assigned shift and reports concerning their supervisor/lead.
  • Works safely and reports safety concerns promptly to their supervisor/lead and takes corrective actions as necessary to ensure a safe environment.
  • Responsible for ensuring direct reports assigned duties and responsibilities are covered during planned and unplanned absence from work, including acting as a backup as necessary.
  • Responsible for reporting food safety problems, initiating action and supporting SQF by maintaining food safety and quality.
  • Ensures work areas are sanitary and strictly adheres to sanitation practices.
  • Communicates effectively between shifts and other departments.
  • All other duties as assigned by leadership.
