About The Position

We’re seeking a highly organized and dependable Landscaping Office Manager to join our team. In this role, you’ll be responsible for managing daily office operations, coordinating schedules, supporting customers, and keeping communication flowing between clients and field crews. This is a fast-paced position, especially during peak season, and requires strong multitasking and customer service skills.

Requirements

  • Ability to manage high call and email volume, especially during peak season (spring–fall).
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and scheduling software; experience with CRM or service management software is a plus.
  • Experience with DocuSign or electronic contract systems preferred.
  • Basic bookkeeping knowledge (invoicing, filing, year-end organization).
  • Experience handling customer follow-ups, confirmations, and service reminders.
  • Landscaping, construction, or home services industry experience preferred.
  • Excellent customer service and communication skills (phone and email).

Responsibilities

  • Answer and manage a high volume of incoming calls (approximately 100–130 per day during peak season, April–October).
  • Monitor and respond to daily emails (approximately 80–120 per day).
  • Schedule estimator appointments and confirm appointments the day prior.
  • Prepare and print daily itineraries for estimators.
  • Schedule sprinkler service calls and provide reminder calls the day before service.
  • Route calls and messages to appropriate team members.
  • Follow up on estimates provided to customers.
  • Send DocuSign agreements to secure project approvals.
  • Submit and manage Miss Dig requests as required.
  • Confirm project installation dates with customers and verify color selections.
  • File and organize invoices and maintain accurate records.
  • Assist with year-end organization and boxing of files.
  • Perform light office cleaning and handle miscellaneous administrative tasks as needed.
